Electronic contracts, signed through a secure link
Write a contract from a template or from one of your quotations, sign it, and send each signer a secure link. They read and sign on any device, without an account, and every step is kept in an audit trail. Free for QuoteBill members.
Simple electronic signature with an audit trail
How it works
Write
Start from one of five sample contracts, from a quotation or invoice you already made, or from a blank page. Parties, clauses, a price schedule, payment terms and governing law are all yours to edit.
Freeze and sign
When you send, the text is frozen and given a fingerprint (SHA-256): any change to the content changes its fingerprint. You sign first, as party A.
Share the link and the code
QuoteBill shows each signer’s link and access code once. You send the link yourself, by email or messenger, and the code through another channel, such as a phone call or a text message.
Track and keep
See who opened and who signed, and when, in the audit trail. Once everyone has signed, print or save the contract as a PDF together with its signature certificate.
How it is secured
A fingerprint for the exact text
The contract is stored once, as the exact text everyone signs, and its SHA-256 fingerprint is shown to every signer. A signature is refused if the fingerprint does not match.
Link secrets that stay out of server logs
The secret part of a signing link comes after the # sign, which browsers do not send to servers. QuoteBill stores only a hash of it, and when you issue a new link the old one stops working.
An access code with lockouts
An 8-character code, sent separately, protects each link. After 5 wrong codes the link locks for 15 minutes; after 15 it is turned off until you issue a new one.
A chained audit trail
Every event, from sending and opening to wrong codes, signing or declining, is stored with its time, IP address and browser. Each entry carries a hash of the one before it, so a changed or removed entry breaks the chain.
Verification by anyone with a copy
The certificate prints the reference, the fingerprint and a certificate hash. Anyone who holds a copy can check it on QuoteBill’s verification page, even after the contract has been deleted from the account.
Only what is needed
Signers need no account, and their email address is optional. The signing and verification pages carry no ads, no analytics and no visit counting.
What it is, and what it is not
QuoteBill creates a simple electronic signature with an audit trail. Many countries do not refuse a signature just because it is electronic, and this kind of signature is generally accepted for many business contracts.
It is not a qualified or advanced electronic signature, and QuoteBill does not verify who the signers are. It records the use of the link and access code you delivered, so anyone who has both can sign. The certificate lists every link issued and the IP address of every action.
Some documents need another form. Wills, many real-estate transfers, guarantees and some employment documents must, in some countries, be handwritten, notarised or signed with a qualified signature. The templates are samples, not legal advice: review them with a lawyer.
Questions
Is it free?
Yes. E-contracts are part of the free QuoteBill membership. Daily limits on creating and sending contracts keep the service from being misused.
Does the other side need an account?
No. A signer opens the link, enters the access code, reads the contract and signs by drawing or typing their name, on a phone or a computer.
Can I use it for employment or real-estate documents?
Check first. Depending on the country, some of these must be in writing on paper, notarised or signed with a qualified signature; in Germany, for example, ending an employment contract needs a handwritten signature. When in doubt, ask a lawyer.
What happens when I delete a contract?
A draft is deleted completely. When a sent contract is deleted, a record without names or content stays so that signed copies can still be verified: the reference, the fingerprint, the completion time and the number of signatures. The privacy notice explains what else is kept, and for how long.
Where is my data stored?
Contracts are stored in QuoteBill’s database, hosted by Supabase, and are read only through checks of who is asking. Signers see only the contract they were sent.
