Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Full service, automatic movement" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "New crown and gaskets". Confirm completed services and quantities with the customer and retain the handover record.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
A watch can sit on a repair bench for weeks, and by the time it goes home the customer remembers little of how it arrived. This invoice records it. The watch is named by brand, reference and case number; the service, the crystal and the crown are separate lines, so a customer who wanted only a new glass can see why the price grew; and the water resistance test is written with its result. The guarantee period you give on the service closes the record.
Fields to prepare
- Deliverables and line items
- Full service, automatic movement, Replace sapphire crystal, Water resistance test, New crown and gaskets: record the quantities actually supplied and the service period.
- Full service, automatic movement
- Say what the service included, such as cleaning, oiling and regulation, and the daily rate after regulation.
- Replace sapphire crystal
- Name the crystal type and why it was replaced, for example a chip at the edge noted when the watch came in.
- Water resistance test
- Give the pressure the watch was tested to and that it passed; never imply a rating the test did not show.
- New crown and gaskets
- List the crown and gaskets as genuine or generic parts, since some owners care which.
- Intake and service
- Record the intake reference, service date, quantity and agreed service scope.
- Extras and handover
- Separate approved extras, supplied items and the completion or handover time.
- Scope to agree
- Identify the watch by brand, reference and case number, note its condition when it came in, and give the result of the water resistance test and the guarantee on your work.
Before sending
- Does “Full service, automatic movement” show the quantity actually supplied, not the quantity first quoted?
- Is “Replace sapphire crystal” charged at the rate the customer agreed to, with any change approved?
- Is “Water resistance test” finished and accepted, or does it belong on a later invoice?
Show 4 more
- Does “New crown and gaskets” show the quantity actually supplied, not the quantity first quoted?
- Reconcile the booked scope with any extra services actually supplied.
- Check that services included in a package have not also been billed separately.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
Worked example with sample figures
The figures below are invented to show how the template adds up: 4 lines in USD, with an example tax rate of 8%.
| Item | Quantity × unit price | Amount |

| Full service, automatic movement | 1 × $240.00 | $240.00 |
| Replace sapphire crystal | 1 × $95.00 | $95.00 |

| New crown and gaskets | 1 × $60.00 | $60.00 |
| Subtotal | $420.00 | |
| Sales tax (8%) | $33.60 | |
| Total | $453.60 | |
Net amount $420.00, sales tax $33.60, total payable $453.60.
What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
How do I describe the watch without saying anything about its value?
Describe it by brand, reference, case number and visible condition only. Leave value and authenticity out unless you were asked to assess them and did.
What guarantee should the invoice mention?
The period you offer on your own work and the parts you fitted, and what it excludes, such as damage from knocks or water after the test date.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $33.60 on a net amount of $420.00, for a total of $453.60. The editor recalculates all three when you change a quantity, a price or the country.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
Can I change the layout and colour?
Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
