Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Dig out and remove soil for the driveway" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Edging kerbs, per metre". Confirm completed quantities, site photos, agreed test results and any remaining remedial work.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Most of a driveway is underground. By the time the client sees the finished blocks, the dig, the soil taken away and the compacted base are covered, and those are the lines most often questioned. This invoice brings them back into view: excavation and disposal as one priced line, the sub-base by area with its depth, the paving by area with its pattern, and kerbs by the metre. A note on drainage, whether a channel or a permeable surface, completes the record.
Fields to prepare
- Deliverables and line items
- Dig out and remove soil for the driveway, Compacted sub-base, per m², Block paving in herringbone, per m², Edging kerbs, per metre: record the quantities actually supplied and the service period.
- Dig out and remove soil for the driveway
- Give the volume or number of loads taken away, since disposal costs depend on it more than on the area.
- Compacted sub-base, per m²
- State the depth of sub-base after compaction; a thin base is the first thing checked if blocks sink later.
- Block paving in herringbone, per m²
- Name the block, colour and laying pattern, and deduct manhole covers and planting beds from the area.
- Edging kerbs, per metre
- Measure kerbs along the edge actually restrained, and leave out work on the public footpath unless it was agreed separately.
- Site and measured quantities
- Record the site, work zones, areas, lengths or counts, and access hours.
- Materials and work stages
- Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
- Scope to agree
- Give the paved area and the depth of sub-base, price excavation and soil removal as their own line, and say how surface water is drained.

What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.

Frequently asked questions
Do I list the skip and soil disposal separately?
Yes. Disposal depends on the volume dug, not the area paved, and an unexpected amount of rubble or clay is easier to explain on its own line.
The client added a drainage channel on site: how do I bill it?
As a separate line with its length and the date the client asked for it. Mention it in the notes as an addition to the quotation, so both totals can be reconciled.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $264.16 on a net amount of $3,302.00, for a total of $3,566.16. The editor recalculates all three when you change a quantity, a price or the country.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
Can I use it in another language or currency?
Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
