Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Outdoor cameras, supply and mount, per camera", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "App set-up and user handover", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Security cameras and smart home devices are sold on features, but clients live with the details: where each camera points, how many days of recordings are kept, whether things still work when the internet is down and who holds the passwords. This quotation template prices cameras and smart points per unit and keeps the recorder, the network work and the handover apart, so the client sees what is hardware and what is set-up.

Frequently asked questions

Should the quotation say anything about privacy around cameras?

Rules on filming beyond your own property differ by country, so advise the client to check them and avoid aiming cameras at neighbours’ windows or public paths. Record the agreed angles on the camera sketch.

How do I price a monthly cloud or monitoring plan?

Keep it off the installation lines. Name the plan, its monthly price and who pays the provider, and invoice any monitoring service of your own separately each month.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $199.20 on a net amount of $2,490.00, for a total of $2,689.20. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
