Example workflow
Confirm scope and quantities
Example: start with "Architectural schematic design", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Design coordination", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
Architects use this quotation to price design services stage by stage, from the first schematic design to the drawings a contractor builds from. With each stage as its own line, the client can approve and pay for one stage before committing to the next, which matters while planning permission or the budget is still uncertain. The coordination line covers meetings with the client, engineers and other consultants; limit it to a stated number of meetings or hours so further rounds can be quoted.

Frequently asked questions
Can I quote my fee as a percentage of the construction cost?
Yes. Write the estimated construction cost and your percentage in the line descriptions and split the fee across the stages in the proportions you agreed. If the fee is to follow the final construction cost, say so, and explain when the adjustment will be invoiced.
Where do permit fees and surveys go?
Fees paid to the authorities and reports by other consultants, such as a land survey or a soil report, are normally paid or reimbursed by the client. List them in the notes as excluded, or as separate reimbursable lines, and keep them out of your design fee.
What if the client pauses the project after schematic design?
Because each stage is a line of its own, invoice the finished stage and keep the remaining lines as an open quotation. Note how long your prices for the later stages remain valid, and that they are reviewed if the project restarts after that.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $470.40 on a net amount of $5,880.00, for a total of $6,350.40. The editor recalculates all three when you change a quantity, a price or the country.
