Preparation guide
Example workflow
Plan the job
Example: start with "Smoke detectors tested with test gas", set the scheduled date, assign the technician and note how to access the site.
Do the work
Record the time and materials actually used, including "Panel standby battery test", and anything found that needs a separate quote.
Sign off and bill
Have the technician and the customer sign the completion lines, then make the invoice from the work order so the lines carry over.
A fire alarm inspection is mostly counting: how many detectors were tested, which call points were pressed, whether every sounder could be heard. Many service contracts test a share of the devices on each visit so that all are covered over the year, and the work order is where that rotation is tracked. This template lists the tests as quantities, without prices, and leaves room for the times the panel was out of service and for faults that need a quotation.
Fields to prepare
- Deliverables and line items
- Smoke detectors tested with test gas, Manual call points activated, Sounders checked for audibility, Panel standby battery test: describe the work and materials planned for each line, with the time or quantity expected.
- Smoke detectors tested with test gas
- Give the zones and device numbers tested, so the next visit continues the rotation instead of repeating it.
- Manual call points activated
- Record which call points were activated and that each signalled the panel in the right zone.
- Sounders checked for audibility
- Note any area where the sounders were too quiet, as that is a fault to report even if every unit worked.
- Panel standby battery test
- Write the battery test result and the battery date, since an old battery can pass on the day and fail in an outage.
- Job site and schedule
- Give the job site address, the scheduled date and the person assigned, with any access or safety instructions.
- Time and materials
- Record the hours worked and the materials used on each line, as done rather than as planned.
- Scope to agree
- List the devices tested this visit by zone and number, record when the panel was isolated and reinstated, and write every fault found with the device it belongs to.
Before sending
- Is it clear who does “Smoke detectors tested with test gas”, where and when?
- Are the materials for “Manual call points activated” listed and on site before the job starts?
- Is there a sign-off for “Sounders checked for audibility” so the time can be invoiced afterwards?

| Smoke detectors tested with test gas | 24 |
| Manual call points activated | 6 |
| Sounders checked for audibility | 10 |
| Panel standby battery test | 1 |
| Total | 41 |
41 units in 4 lines.

What the document must show
These details make a work order easier to approve and to file.
- Work order number and date
- The customer's name and job site address
- Scheduled date and the person assigned
- Each task and the materials needed
- Time or quantity per line, and prices if shown
- Sign-off lines for the worker and the customer
This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals.
Frequently asked questions
Do I test every device on each visit?
That depends on your service contract and the rules that apply to the building. Many contracts spread the devices over the year; record which ones were done today so the rotation stays complete.
What happens to a fault found during the test?
Write it with the device number and what failed, tell the person responsible for the building before you leave, and send a quotation for the repair unless the contract covers it.
Does this work order show prices or tax?
This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals. The worked example above counts 41 units and nothing else.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
