Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Topographic survey of the site" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Survey drawing in CAD and PDF". Link subject identifiers to results and deliver observations and agreed follow-up actions.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Before an architect draws and before a builder digs, someone has to measure the ground and what stands on it. A surveyor's invoice for a small development often covers several visits: a topographic survey of the plot, a measured survey of a building that will be extended, and later the setting out of the new corners on site. This template keeps each visit and the final drawing on separate lines, with the reference system the measurements use.
Fields to prepare
- Deliverables and line items
- Topographic survey of the site, Measured survey of the existing building, Setting out the corners of the new building, Survey drawing in CAD and PDF: record the quantities actually supplied and the service period.
- Topographic survey of the site
- Give the area covered and what was picked up, such as levels, trees, drains and boundary features.
- Measured survey of the existing building
- State which floors and elevations were measured; rooms you could not enter are listed so nobody assumes they were measured.
- Setting out the corners of the new building
- Record the date of setting out and who on site received the marked points.
- Survey drawing in CAD and PDF
- Name the file formats and the coordinate and height reference used in the drawing.
- Subjects and quantities
- Record sample, asset or site counts, identifiers, test items and accessible areas.
- Method and report
- Specify agreed methods, report format, delivery deadline and whether retesting is included.
- Scope to agree
- Say which area was surveyed and to what accuracy, keep fieldwork and the drawing apart, and name the coordinate and height reference the drawing uses.
Before sending
- Does “Topographic survey of the site” show the quantity actually supplied, not the quantity first quoted?
- Is “Measured survey of the existing building” charged at the rate the customer agreed to, with any change approved?
- Is “Setting out the corners of the new building” finished and accepted, or does it belong on a later invoice?

What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
The site was overgrown and took longer to survey. Can I add that?
Only if your quote said how access problems would be priced. Otherwise note the conditions for the client's record and keep to the quoted figure.
The builder moved one of my setting-out pegs. Is the second visit billable?
Yes, a return visit to replace disturbed marks is new work. Bill it with its date and name who asked for it, so the client can settle it with the builder.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $172.00 on a net amount of $2,150.00, for a total of $2,322.00. The editor recalculates all three when you change a quantity, a price or the country.
How should I number invoices?
Use one unbroken sequence per business, never reuse a number, and issue a credit note rather than deleting an invoice you have already sent.
Is this template free?
Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
