Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Australian site survey" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Survey report". Link subject identifiers to results and deliver observations and agreed follow-up actions.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
In Australia the document a GST-registered business gives its customer is called a tax invoice, and this template prints that title. It is set up for a surveyor or inspector working in the field: the site visit itself, the travel needed to reach it and the written report. Your ABN goes where the template asks for a tax registration number, and the GST stands on its own line under the net total, so a business customer can read it without working it out.
Fields to prepare
- Deliverables and line items
- Australian site survey, Site travel expenses, Survey report: record the quantities actually supplied and the service period.
- Australian site survey
- Give the site address and the date of each visit; a survey spread over two days is a quantity of two, not one.
- Site travel expenses
- Bill travel by the kilometer or as the fixed call-out fee you quoted, and keep fuel and toll receipts if you pass them on at cost.
- Survey report
- Quote the report number and its issue date, and bill the report when it is delivered rather than when the fieldwork ends.
- Subjects and quantities
- Record sample, asset or site counts, identifiers, test items and accessible areas.
- Method and report
- Specify agreed methods, report format, delivery deadline and whether retesting is included.
- Scope to agree
- Link survey locations and visits, travel-expense records and the survey report reference.
Before sending
- Does “Australian site survey” show the quantity actually supplied, not the quantity first quoted?
- Is “Site travel expenses” charged at the rate the customer agreed to, with any change approved?
- Is “Survey report” finished and accepted, or does it belong on a later invoice?
Show 4 more
- Separate visit, collection and transport costs from analysis and reporting.
- Document inaccessible areas and excluded tests before work starts.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
- Confirm document language (en), country setting (AU), and the customer's currency and date-format requirements.
Worked example with sample figures
The figures below are invented to show how the template adds up: 3 lines in AUD, with GST at 10%.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Australian site survey | 20 × A$650.00 | A$13,000.00 |
| Site travel expenses | 8 × A$2,400.00 | A$19,200.00 |
| Survey report | 4 × A$300.00 | A$1,200.00 |
| Subtotal | A$33,400.00 | |
| GST (10%) | A$3,340.00 | |
| Total | A$36,740.00 | |
Net amount A$33,400.00, GST A$3,340.00, total payable A$36,740.00.
What the document must show
These details make an invoice easier to approve and to file.
- Your business name, address and registration or tax number
- The customer's name and address
- Issue date and a document number you do not reuse
- Each line item with quantity, unit price and amount
- Tax shown separately from the net amount, and the total payable
- Payment terms: due date, bank details or accepted payment methods
The GST here is 10%, applied to the net amount and shown as its own line.

Frequently asked questions
What if I am not registered for GST?
Then you do not charge GST and should not call the document a tax invoice. Because this template prints that title, use a plain invoice template instead, set the tax rate to 0 and check the ATO’s guidance on what your invoice should show.
Can I bill the report before the client has read it?
Delivery is the usual point to invoice. If the contract makes payment depend on the client accepting the report, wait for that acceptance and write its date in the notes, so the invoice is not returned for being early.
Does the GST change for a client in another state?
No, GST is a national tax, so the rate does not change between states. What usually changes is the travel: bill extra travel days and accommodation for an interstate survey on separate lines, so the client sees the cost of the distance.
How is the GST worked out on this invoice?
In the worked example above, GST at 10% on the net amount of A$33,400.00 is A$3,340.00, so the total is A$36,740.00. The editor recalculates all three when you change a quantity, a price or the country.
Is this template free?
Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
