Preparation guide
Example workflow
Confirm scope and quantities
Example: start with "Building exterior inspection", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Home condition report", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Link subject identifiers to results and deliver observations and agreed follow-up actions. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
Home inspections are often booked at short notice, after an offer is accepted and before the buyer has to commit, so the quotation needs to be clear and quick to approve. This one prices the outside of the building, the interior systems and the written report separately. That lets you adjust for a larger house, a detached garage or a faster report without rewriting the rest, and it shows the report as a deliverable with its own date.
Fields to prepare
- Deliverables and line items
- Building exterior inspection, Interior systems inspection, Home condition report: specify the planned quantity and delivery scope for each item.
- Building exterior inspection
- Base the price on floor area or storeys and list what is viewed from the ground, such as roof covering, gutters and drainage, so nobody assumes you will walk the roof.
- Interior systems inspection
- Name the systems covered, typically heating, plumbing and electrics, and say whether the inspection is visual only, without opening walls or dismantling equipment.
- Home condition report
- Give the format, the rough number of photographs and the delivery time after the visit, and price a same-day report as an option of its own.
- Subjects and quantities
- Record sample, asset or site counts, identifiers, test items and accessible areas.
- Method and report
- Specify agreed methods, report format, delivery deadline and whether retesting is included.
- Scope to agree
- Define building and interior-system coverage, inaccessible areas, the photographed condition report and delivery date.

- Would the customer read “Interior systems inspection” the way you do, including what it leaves out?

What the document must show

Frequently asked questions
What should the quotation say about areas I cannot reach?
List them as exclusions in the notes, for example a locked loft, a crawl space blocked by stored boxes or a roof too steep to walk. The report will repeat them, but stating them in the quotation means the buyer knows before booking what will not be seen.
Should radon, mould or asbestos testing be in this price?
Keep them out of the standard lines. If the client wants samples taken, add each test as a separate optional line with the laboratory turnaround, because those results arrive after your report and are usually priced per sample.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $741.60 on a net amount of $9,270.00, for a total of $10,011.60. The editor recalculates all three when you change a quantity, a price or the country.
How do I turn an approved quotation into an invoice?
Open the approved quotation and convert it. The original stays unchanged, and the invoice carries the same line items so the customer can match the two documents.
How is the document numbered?
QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as QUO-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
