Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Double-glazed windows, per unit (sizes per schedule)", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Making good: sills, trims and sealing, per opening", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

A window and door replacement quotation stands or falls on its schedule of openings. The homeowner should be able to walk round the house, count the windows and find each one on the quotation with its size, glass, frame colour and the way it opens. This template prices units per piece, the front door on its own line, and removal and finishing per opening, so turning one window into a fixed pane does not reshuffle the whole price.

Frequently asked questions

What if a frame hides damage that only shows on removal?

Measure every opening yourself before ordering and say the order is placed on those sizes. For rotten lintels or crumbling reveals found on removal, state a repair rate per opening on the quotation so the work can go ahead the same day.

Should the quotation give a fitting date?

Give a lead time instead. Made-to-measure windows and doors take weeks to produce, so state the expected manufacturing time counted from the client’s signed order and deposit, and confirm the fitting date once the frames are ready.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $660.40 on a net amount of $8,255.00, for a total of $8,915.40. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as QUO-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
