Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Loft insulation top-up, per m²", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Ventilation check and added vents", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Insulating an older home usually means several smaller jobs rather than one: topping up the loft, filling wall cavities, insulating under the floor. An insulation retrofit quotation lists each with its own area, material and thickness, so the homeowner can do the cheapest improvements first or apply for support where a scheme exists. It also covers ventilation, because a house that loses less heat can trap more moisture when vents are blocked or missing.

Frequently asked questions

Should the quotation promise energy savings?

Be careful with figures you cannot guarantee. Describe what is improved and how the insulation thickness changes, and leave savings estimates to an energy assessment if the client has one or wants one.

What if a wall turns out to be unsuitable for cavity fill?

Say in the notes that each wall is checked before filling and that unsuitable sections are left out and not charged. Offer an alternative, such as internal wall insulation, on a separate quotation.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $325.12 on a net amount of $4,064.00, for a total of $4,389.12. The editor recalculates all three when you change a quantity, a price or the country.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as QUO-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
