Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Consultation and examination" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Prescription diet, 2 kg bag".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

Pet owners often pay the vet first and claim from their pet insurer afterwards, and the insurer decides line by line: an examination or a blood test may be covered while a vaccination or a bag of food may not. A veterinary receipt that lumps everything together slows the claim down. This template names the animal and its microchip, keeps consultations, vaccines, tests and diet food on separate lines, and leaves the diagnosis to the clinical record.

Fields to prepare

Deliverables and line items
Consultation and examination, Annual vaccination, Blood test, in-house, Prescription diet, 2 kg bag: the lines this payment covers, as they appear on the invoice it settles.
Consultation and examination
Write the reason for the visit in a few neutral words, such as “limping, left foreleg”, which most insurers ask for.
Annual vaccination
Give the vaccine and the date the next dose is due; owners keep the receipt as a reminder as much as a record.
Blood test, in-house
Say whether the test was run in-house or sent to a laboratory, since an outside lab may bill the owner separately.
Prescription diet, 2 kg bag
Keep food and supplements on their own line; insurers that pay for treatment often exclude them.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Name the animal, its species and microchip or record number, list treatments and medicines apart from food and products, and keep the clinical notes off the receipt.

The details a receipt has to show, and why each one matters, are set out in the guide below.

Frequently asked questions

Should the diagnosis be on the receipt?

Keep it short or leave it out: the reason for the visit is enough for most claims, and insurers that need the diagnosis ask for the clinical record or their own claim form, which you complete separately.

One owner brought two animals. One receipt or two?

Two are easier to claim, because each animal usually has its own policy. If you prefer one, group the lines under each animal’s name and chip number.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $15.52 on a net amount of $194.00, for a total of $209.52. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
