Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Haircut and neck shave" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Pomade, 100 ml".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

A barber’s receipt is short, yet it often has to say more than a till slip. In some shops each barber rents a chair and trades on their own account, so the receipt should say who did the work and whose business was paid. Customers also pay with cash, a prepaid card or a membership, and a visit becomes a gift or a claimed expense only afterwards. Cut, beard work, colour and products are separate lines, while the barber’s name and the way the customer paid belong in the notes.

Fields to prepare

Deliverables and line items
Haircut and neck shave, Beard trim with hot towel, Grey blending colour, Pomade, 100 ml: the lines this payment covers, as they appear on the invoice it settles.
Haircut and neck shave
Name the cut or its price tier, such as skin fade or classic scissor cut; clients with several price levels want to see which one applied.
Beard trim with hot towel
List beard work apart from the haircut even when it is sold as a package, so the client can see what the package contained.
Grey blending colour
Say how much was coloured, for instance grey blending rather than a full dye; the price follows the amount of work.
Pomade, 100 ml
Name the product and its size on a line of its own, since a returned product is refunded differently from a service.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Name the barber for each service, keep products on their own line, and mention any prepaid card or member rate used, so the amount charged can be explained.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Should the barber’s name be on the receipt?

Yes. Where barbers work on their own account, the business that was paid matters most; elsewhere the barber’s first name helps the customer ask for the same person next time.

What goes on the receipt when a customer pays with a prepaid card?

Write the full price of each service, then show the card as the payment method with the visits remaining. The customer sees what each cut was worth and how many are left.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $7.76 on a net amount of $97.00, for a total of $104.76. The editor recalculates all three when you change a quantity, a price or the country.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
