Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Tyres 205/55 R16 91V, supplied and fitted" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Four-wheel alignment check". Deliver the service record, materials used, unresolved issues and the agreed next visit date.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
A tyre invoice is short, but the details on it matter later: when the next set is bought, when a puncture claim is made, or when the car is sold. This template writes each tyre with its full size, load index and speed rating, prices balancing and valves per wheel, and lists an alignment check on its own line. The registration, the mileage and the wheel positions changed, front or rear, sit with the lines, so the next fitter knows what is on the car.
Fields to prepare
- Deliverables and line items
- Tyres 205/55 R16 91V, supplied and fitted, Wheel balancing, per wheel, New valves, per wheel, Four-wheel alignment check: record the quantities actually supplied and the service period.
- Tyres 205/55 R16 91V, supplied and fitted
- Write the size exactly as on the sidewall, including load index and speed rating, and the brand and pattern.
- Wheel balancing, per wheel
- Price balancing per wheel and say whether it was done on the car’s own rims or new ones.
- New valves, per wheel
- Valves are cheap but easy to forget; listing them shows they were renewed with the tyres.
- Four-wheel alignment check
- Record the alignment readings before and after, or that none was needed, rather than charging for an adjustment not made.
- Assets and visits
- Record the asset or area, visit dates, visit count and access arrangements.
- Labor and materials used
- Separate labor hours, quantities of parts or consumables, and work outside the recurring scope.
- Scope to agree
- Give the full tyre size with load and speed index, the vehicle registration and mileage, and which wheel positions were changed.

Frequently asked questions
Should the invoice show the load and speed index?
Yes. Two tyres of the same size can carry different loads and speeds, and the index shows the customer, or an insurer, that the tyres suit the car.
A puncture repair turned into a replacement: how do I show it?
Bill the replacement tyre and say in the notes why the repair was not possible, for example damage near the sidewall, so the customer understands the higher price.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $19.76 on a net amount of $247.00, for a total of $266.76. The editor recalculates all three when you change a quantity, a price or the country.
Can I use it in another language or currency?
Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
