Preparation guide

Example workflow

  1. Plan the job

Example: start with "Clean roof-mounted panels, per panel", set the scheduled date, assign the technician and note how to access the site.

  2. Do the work

Record the time and materials actually used, including "Pure water supply and pole system", and anything found that needs a separate quote.

  3. Sign off and bill

Have the technician and the customer sign the completion lines, then make the invoice from the work order so the lines carry over.

Customers pay for panel cleaning because they expect the array to produce more afterwards, so the work order should show it. This template prices the cleaning per panel, which is how most cleaners quote, and records the inverter reading before and after, taken at a similar time of day. It also covers the checks that come with being on the roof: the bird-proofing mesh, cracked glass, loose cables. Those are noted for the owner or installer rather than repaired by the cleaner.

Fields to prepare

Deliverables and line items
Clean roof-mounted panels, per panel, Check bird-proofing mesh around the array, Inverter reading before and after, Pure water supply and pole system: describe the work and materials planned for each line, with the time or quantity expected.
Clean roof-mounted panels, per panel
Count panels from the array, not from the quote, and note any panel you could not reach safely.
Check bird-proofing mesh around the array
Say whether the mesh was intact and whether birds were nesting under the array, which affects the next clean.
Inverter reading before and after
Write the two readings and the times taken; a passing cloud can make a small gain look like none.
Pure water supply and pole system
Name the water system used, since many panel makers advise against detergents and hard water marks.
Job site and schedule
Give the job site address, the scheduled date and the person assigned, with any access or safety instructions.
Time and materials
Record the hours worked and the materials used on each line, as done rather than as planned.
Scope to agree
Count the panels cleaned, follow the panel maker’s cleaning instructions, record the inverter reading before and after, and note any damaged panel or wiring seen.

Frequently asked questions

Why record the inverter reading?

It shows the customer what the clean achieved. Take both readings at a similar time and in similar light, and write the weather, so the comparison is fair.

Should panels be cleaned at a particular time of day?

Many cleaners avoid the hottest part of a sunny day, as cold water on hot glass is best avoided. Follow the panel maker’s advice and note the time on the work order.

How is the sales tax worked out on this work order?

The worked example above uses an example rate of 8%: $13.28 on a net amount of $166.00, for a total of $179.28. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I change the layout and colour?

Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
