Preparation guide

Example workflow

  1. Pick and pack

Example: count "Ready-mix concrete, mix as ordered (m³)" and the other lines against the order, and note anything that ships later.

  2. Ship with the note

Put the note in or on the shipment with the tracking number and package count, and check "Retarder added on site, by request" is listed.

  3. Get it signed

Ask the recipient to sign and date the received-by line, and keep the signed copy as proof of delivery.

Concrete starts setting from the moment it is batched, so a ready-mix delivery note is as much about times as about cubic metres. Site engineers check the mix against the order, the time since batching, and anything added to the drum on site, because water added to make the pour easier can weaken the concrete. This template records the volume and the mix as lines and puts the times and site additions where the person who signs can see them.

Fields to prepare

Deliverables and line items
Ready-mix concrete, mix as ordered (m³), Truck waiting time on site (minutes), Retarder added on site, by request: record the quantity actually shipped for each line; prices stay off the note.
Ready-mix concrete, mix as ordered (m³)
Write the mix designation exactly as ordered and as batched; if they differ, the site must know before discharge starts.
Truck waiting time on site (minutes)
Waiting time is counted from arrival to the start of discharge, beyond the free minutes your terms allow.
Retarder added on site, by request
Any admixture or water added on site needs the quantity and the name of the person on site who asked for it.
Order and delivery
Quote the order or invoice number the delivery belongs to, the delivery date and the address the goods go to.
Shipment
Give the number of packages, the carrier or shipping method and the tracking number.
Scope to agree
Record the mix ordered and the mix batched, the batching time, the arrival and the end of discharge, and any water or admixture added on site with the name of who asked for it.

Before sending

  • Was “Ready-mix concrete, mix as ordered (m³)” counted when it was packed, and does the count match the order?
  • If “Truck waiting time on site (minutes)” ships short, does the note say how many follow and when?
  • Will the receiver be able to check “Retarder added on site, by request” against this note on arrival?
Show 3 more
  • Check the delivery address, the number of packages and the order or invoice number the delivery belongs to.
  • Count each line against the order, and list anything that ships later rather than leaving it off.
  • Leave prices off the note unless the customer asks for them; they belong on the invoice.

What the document must show

These details make a delivery note easier to approve and to file.

  • Your company name and address
  • The customer's name and delivery address
  • Note number and delivery date
  • The order or invoice it belongs to
  • Each item with the quantity delivered
  • Packages and carrier or tracking number
  • A line for the recipient's signature and date

This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals.

Frequently asked questions

Who should sign the concrete delivery note on site?

The person authorised to accept concrete for the contractor, usually named in the order. The signature confirms the volume and the times, so it should not come from whoever is nearest the truck.

What if part of the load goes back to the plant?

Write the returned volume on the note and have the site sign for it. The invoice then bills what was discharged, and the plant deals with the returned concrete under its terms.

Does this delivery note show prices or tax?

This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals. The worked example above counts 34 units and nothing else.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
