Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Campaign planning" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Campaign performance analysis". Deliver the activity log, results with reporting periods and data sources, and a list of next actions.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Marketing agencies outside Spain often win Spanish clients whose administration expects invoices in Spanish. This template answers that: its labels print in Spanish, the country starts at Spain, the currency is the euro and the tax line reads IVA. The sample lines describe a campaign job billed to such a client, from planning and ad copy to the analysis of results, and they work just as well for a freelancer based in Spain.

Fields to prepare

Deliverables and line items
Campaign planning, Advertising copywriting, Campaign performance analysis: record the quantities actually supplied and the service period.
Campaign planning
Name the campaign and the channels it covers, and bill planning as a fixed fee per campaign rather than open-ended hours.
Advertising copywriting
Count the ad variants delivered per channel, for example twelve headlines and four short texts, and say which language versions were written.
Campaign performance analysis
State the period analyzed and the report delivered, and keep the client’s advertising spend on the platforms off this line.
Channels and activity volume
List the accounts, sites or campaigns and the number of publishing, analysis or optimization tasks.
Period and reporting basis
Set the service period, comparison baseline, client-supplied data and report delivery date.
Scope to agree
Record campaign counts, advertising-copy variants, analysis periods and data sources.

Before sending

  • Does “Campaign planning” show the quantity actually supplied, not the quantity first quoted?
  • Is “Advertising copywriting” charged at the rate the customer agreed to, with any change approved?
  • Is “Campaign performance analysis” finished and accepted, or does it belong on a later invoice?
Show 4 more
  • Identify whether media spend, paid tools and content production are included.
  • Base acceptance on agreed work and reports without treating a ranking or revenue result as a guaranteed deliverable.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
  • Confirm document language (es), country setting (ES), and the customer's currency and date-format requirements.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods
  • Spain has requirements for invoicing software (Veri*factu). QuoteBill is not a certified or registered invoicing system: a document made in it is a printable copy. Check the official page for the rules that apply to you.

The VAT here is 21%, applied to the net amount and shown as its own line.

Frequently asked questions

Should media spend go on my invoice?

Ideally the client pays the advertising platforms directly. If you pay and recharge the spend, put it on its own line with the platform and the period, separate from your fees, so the client can see that no margin is hidden in it.

Does a Spanish client need my tax identification number?

Spanish business invoices normally show the tax identification number of both parties: a NIF in Spain, or a VAT number for traders elsewhere in the EU. Enter yours in your company details and ask the client for theirs before you issue the invoice.

What about the invoicing software rules mentioned above?

They concern the systems that businesses in Spain use to issue invoices. The tax agency does not certify such systems: the producer of each one declares that it meets the rules. QuoteBill is not a system declared under them, so if they apply to you, issue the final invoice from a compliant system and use this template for drafts or for clients outside Spain.

How is the VAT worked out on this invoice?

In the worked example above, VAT at 21% on the net amount of €1,120.00 is €235.20, so the total is €1,355.20. The editor recalculates all three when you change a quantity, a price or the country.

Can I download it as Excel, Word or PDF?

Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
