Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Commission 6% on orders shipped this quarter" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Share of trade fair stand costs". Deliver the activity log, results with reporting periods and data sources, and a list of next actions.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
An independent sales agent earns a percentage of the business brought to a manufacturer or wholesaler and bills it period by period. The figures come from the principal’s own records: orders accepted, goods shipped or invoices paid, depending on what the agency agreement says triggers commission. This template keeps each rate on its own line with the sales it applies to, so the principal can reconcile the claim against its ledger in minutes.
Fields to prepare
- Deliverables and line items
- Commission 6% on orders shipped this quarter, Commission 3% on house accounts, as agreed, Share of trade fair stand costs: record the quantities actually supplied and the service period.
- Commission 6% on orders shipped this quarter
- Write the sales base and the rate in the description, for example 6% of $48,000, and attach the principal’s order list for the quarter.
- Commission 3% on house accounts, as agreed
- Accounts the principal serves directly often earn a lower rate; name the agreement clause so the smaller line is not taken for an error.
- Share of trade fair stand costs
- Bill a cost share such as a trade fair stand only if it was agreed in writing, with the principal’s share stated.
- Channels and activity volume
- List the accounts, sites or campaigns and the number of publishing, analysis or optimization tasks.
- Period and reporting basis
- Set the service period, comparison baseline, client-supplied data and report delivery date.
- Scope to agree
- Base each commission line on the principal’s order or invoice list for the period, state the rate and the sales it applies to, and keep agreed cost shares separate.
Before sending
- Does “Commission 6% on orders shipped this quarter” show the quantity actually supplied, not the quantity first quoted?
- Is “Commission 3% on house accounts, as agreed” charged at the rate the customer agreed to, with any change approved?
- Is “Share of trade fair stand costs” finished and accepted, or does it belong on a later invoice?

- Identify whether media spend, paid tools and content production are included.
- Base acceptance on agreed work and reports without treating a ranking or revenue result as a guaranteed deliverable.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.

Frequently asked questions
My principal sends me a commission statement. Do I still invoice?
Some principals self-bill: under an agreement they issue the commission document for you, and you do not invoice separately. If yours does not, invoice from their figures. Check which method your agency agreement uses before sending anything.
An order I was paid commission on was cancelled. What now?
Look at the agreement: many say commission is earned only when the customer pays. If the cancellation removes commission already billed, issue a credit note that refers to this invoice rather than netting it off quietly.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $295.20 on a net amount of $3,690.00, for a total of $3,985.20. The editor recalculates all three when you change a quantity, a price or the country.
Is this template free?
Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
