Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Boarding, per night" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Bath before pick-up".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

A pet boarding receipt confirms what an owner paid for a stay: the nights, the care that came with them and anything extra. Owners keep it to compare kennels, to split costs within the family, or to show their insurer or vet when and where the pet was in care. This template lists the nights first and the extras after, records the pet and the dates of the stay, and shows the payment method and the amount received.

Fields to prepare

Deliverables and line items
Boarding, per night, Medication given during the stay, Bath before pick-up: the lines this payment covers, as they appear on the invoice it settles.
Boarding, per night
Count nights, not days: a pet dropped off on Monday and collected on Friday stayed four nights, unless your terms say otherwise.
Medication given during the stay
Note the medicine and dose the owner handed over; a charge per day is easier to check than a lump sum.
Bath before pick-up
Extras such as a bath or nail trim should be ones the owner booked or approved, with the day they were done.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Write the pet’s name, the check-in and check-out dates and the number of nights, and keep any vet visit during the stay on its own line.

Before sending

  • Does “Boarding, per night” match the line on the invoice this payment settles?
  • Has the money for “Medication given during the stay” actually arrived, in full or in part?
  • Is “Bath before pick-up” shown at the amount received, with any balance still owed noted?
Show 3 more
  • Confirm the money has actually arrived before you issue the receipt.
  • Check that the amount received matches the invoice, and note any difference as a balance or an overpayment.
  • Quote the invoice number it settles, and keep receipt numbers in a sequence of their own.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Should the receipt show a deposit paid at booking?

Yes. List the whole stay, then show the deposit and the amount paid at pick-up, so the receipt adds up to everything the owner paid.

Can one receipt cover two pets?

It can. Give each pet its own nights line so the owner sees what each stay cost, especially if your rates differ by size.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $19.20 on a net amount of $240.00, for a total of $259.20. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
