Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Mixing, per song" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Revision beyond the two included". Hand over approved versions and a file manifest, confirming usage scope and completed revisions.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
An EP or album reaches a mix engineer as a set of multitrack sessions and leaves as finished mixes, masters for the streaming services and a handful of alternate versions for licensing and live shows. Artists and small labels budget per song, so this template prices mixing and mastering song by song, bills the instrumental and TV versions as a deliverable of their own, and charges only for revision rounds beyond those the price includes.
Fields to prepare
- Deliverables and line items
- Mixing, per song, Mastering for streaming, per song, Instrumental and TV mix versions, Revision beyond the two included: record the quantities actually supplied and the service period.
- Mixing, per song
- List the song titles mixed and say whether stems were delivered with each mix.
- Mastering for streaming, per song
- Name the file format and loudness target of the masters, and whether a separate vinyl or CD master was made.
- Instrumental and TV mix versions
- Say which alternate versions each song received, as not every song needs all of them.
- Revision beyond the two included
- Count revision rounds per song and give the date each extra round was requested.
- Quantity and output format
- Record pages, images, word counts or running time, final file formats and whether editable source files are included.
- Review and usage scope
- Specify the draft approver, revision rounds, intended media and duration, and who supplies third-party assets.
- Scope to agree
- Price each song, say how many revision rounds the price includes, and list every version delivered so the label can match files to lines.

Frequently asked questions
The artist sent new vocal takes after the mix was approved. Is that a revision?
Replacing recorded parts after approval is closer to a new mix than a revision. Bill it as agreed for remixes, or at least as an extra round, and name the song and date.
Should studio time and mixing be on separate lines?
Yes, if you also recorded the band. Recording is billed by session or hour and mixing by song; kept apart, the label can see what the post-production cost.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $114.40 on a net amount of $1,430.00, for a total of $1,544.40. The editor recalculates all three when you change a quantity, a price or the country.
Can I use it in another language or currency?
Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
