Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Deep tissue massage, 60 minutes" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Massage oil, 100 ml bottle".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

Clients of a massage studio pay at the end of each session and ask for a receipt for different reasons: a health spending account, an insurer that covers some treatments, or a record of a gift voucher they redeemed. Each of them reads the same three things: which treatment, how long, and on which day. This template keeps the treatment, the add-ons and any oils you sold on separate lines, because a plan that pays for a treatment rarely pays for a bottle of oil.

Fields to prepare

Deliverables and line items
Deep tissue massage, 60 minutes, Hot stone add-on, 15 minutes, Massage oil, 100 ml bottle: the lines this payment covers, as they appear on the invoice it settles.
Deep tissue massage, 60 minutes
Name the treatment as your price list does and give the minutes; a plan that reimburses massage usually asks for both.
Hot stone add-on, 15 minutes
Show an add-on as its own line with its length, so the client can see why this session cost more than the last.
Massage oil, 100 ml bottle
List retail products apart from treatments, with the size; they are often taxed and reimbursed differently.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Give the treatment, its length and the date, keep products sold on their own line, and add a registration number only if your clients’ insurers ask for one.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

A client wants to claim from their health plan. What should the receipt show?

The client’s name, the date, the treatment and its length, the amount paid and your name and practice address. Some plans also ask for a registration or membership number; add it if you hold one.

How do I record a session paid with a gift voucher?

Write the treatment as usual and show the voucher code as the way it was paid. If the voucher did not cover everything, record the top-up and how it was paid separately.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $9.68 on a net amount of $121.00, for a total of $130.68. The editor recalculates all three when you change a quantity, a price or the country.

Can I change the layout and colour?

Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
