Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Engineered oak, glued down, per m²" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Lift and dispose of the old carpet". Confirm completed quantities, site photos, agreed test results and any remaining remedial work.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
A floor is sold by the box and fitted by the square metre, and the gap between the two is where invoices get questioned. This template bills the area actually laid, room by room, and keeps levelling compound, threshold strips and the removal of the old covering on their own lines. A note on the moisture reading of the subfloor and the time the boards acclimatised records the checks you made before laying, which is useful if the floor moves later.
Fields to prepare
- Deliverables and line items
- Engineered oak, glued down, per m², Self-levelling screed over an uneven slab, per m², Door bars and threshold strips, Lift and dispose of the old carpet: record the quantities actually supplied and the service period.
- Engineered oak, glued down, per m²
- Measure each room wall to wall and add them up; offcuts and spare boxes left for the client are not part of the area.
- Self-levelling screed over an uneven slab, per m²
- Give the area and the average depth of screed, because the depth decides how many bags were used and how long it cured.
- Door bars and threshold strips
- Count door bars by doorway and name their finish, so they match the floor and the next room.
- Lift and dispose of the old carpet
- Say how the old carpet and gripper were disposed of, and whether the underlay was reused.
- Site and measured quantities
- Record the site, work zones, areas, lengths or counts, and access hours.
- Materials and work stages
- Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
- Scope to agree
- Bill the area laid rather than the boxes opened, record the subfloor moisture reading you took, and list levelling and thresholds apart from the floor itself.

What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
Do I bill the area laid or the boxes I opened?
The area laid, measured per room. If you supplied the flooring, the boxes go on a separate materials line, and any waste allowance should match what the quotation said.
Why note the moisture reading on an invoice?
It records that the subfloor was checked before you laid the floor. If boards later cup or open up, that reading is the first thing anyone asks for.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $80.16 on a net amount of $1,002.00, for a total of $1,082.16. The editor recalculates all three when you change a quantity, a price or the country.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
Can I email it to the customer?
Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
