Example workflow
Confirm scope and quantities
Example: start with "Excavation and removal of spoil, per m²", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Edging kerbs and drainage channel, per metre", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
Most of a driveway’s life is decided below the surface: how deep the excavation goes, how thick the compacted sub-base is and where the rain runs off. A paving quotation that only names the block colour leaves the client no way to tell a cheap price from a sound one. This template prices each layer per square metre with its depth and keeps edging and drainage on a separate line measured in metres.
Fields to prepare
- Deliverables and line items
- Excavation and removal of spoil, per m², Sub-base: compacted crushed stone, per m², Block paving laid on a sand bed, per m², Edging kerbs and drainage channel, per metre: specify the planned quantity and delivery scope for each item.
- Excavation and removal of spoil, per m²
- State the excavation depth and whether spoil leaves in a skip or by grab lorry; access for machinery affects the price.
- Sub-base: compacted crushed stone, per m²

- Block paving laid on a sand bed, per m²
- Name the block, its colour and laying pattern; some patterns need more cutting and take longer.

- Materials and work stages
- Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
- Scope to agree

Frequently asked questions
Do I need to mention drainage rules for a new paved surface?
Some places restrict where rainwater from new paving may drain, so check with the local authority and state the drainage you have priced, for example permeable blocks or a channel to a soakaway.
What if I hit cables, pipes or soft ground while digging?
Ask the client about known services before work starts and note the answer on the quotation. Soft spots that need extra digging and stone are charged per square metre at a rate given in the notes.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $368.48 on a net amount of $4,606.00, for a total of $4,974.48. The editor recalculates all three when you change a quantity, a price or the country.
How do I turn an approved quotation into an invoice?
Open the approved quotation and convert it. The original stays unchanged, and the invoice carries the same line items so the customer can match the two documents.
Can I change the layout and colour?
Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
