Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Full groom, medium dog (12 to 25 kg)" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Flea and tick shampoo".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

The price of grooming a dog rests on size and coat, and the coat is only fully known once the dog is on the table. A matted undercoat, a nervous dog or a skin problem turns a standard job into a longer one, so the receipt has to explain the price and the work done. The groom, the de-matting, nails and ears, and the shampoo each take a line, and the notes are kept for what the groomer saw on the dog.

Fields to prepare

Deliverables and line items
Full groom, medium dog (12 to 25 kg), De-matting, per 15 minutes, Nail trim and ear cleaning, Flea and tick shampoo: the lines this payment covers, as they appear on the invoice it settles.
Full groom, medium dog (12 to 25 kg)
State the size or weight band your price list uses and the style asked for; “breed standard” and “short all over” are different jobs and prices.
De-matting, per 15 minutes
Write the minutes spent and that the owner agreed before you began; de-matting is the line owners dispute most.
Nail trim and ear cleaning
Note what you did to ears and nails and anything you noticed, such as a red ear or a split nail, that the owner may want a vet to see.
Flea and tick shampoo
Name the shampoo and say if it is medicated or a flea product, because owners of allergic or treated dogs ask.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Write the dog’s name, breed and weight band, the clip or style chosen, and any matting or handling surcharge you told the owner about before you started.

Frequently asked questions

The coat was matted. How do I explain the extra charge?

Record the minutes of de-matting and that the owner agreed, or that you clipped shorter instead for the dog’s comfort. A customer who sees the reason and the time rarely disputes the line.

Should I write down skin problems found while grooming?

Yes, briefly and factually, such as a small nick by a skin fold or a sore patch behind the ear, with the time you noticed it. It protects you if the owner later thinks it happened in the salon.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $9.04 on a net amount of $113.00, for a total of $122.04. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I email it to the customer?

Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
