Example workflow
Pick and pack
Example: count "Sourdough loaves, 800 g, sliced" and the other lines against the order, and note anything that ships later.
Ship with the note
Put the note in or on the shipment with the tracking number and package count, and check "Empty crates collected" is listed.
Get it signed
Ask the recipient to sign and date the received-by line, and keep the signed copy as proof of delivery.
A bakery delivery is over before the café opens. The van leaves in the dark, drops a standing order at each door and often finds nobody in, so the note is the only witness: what was left, in which box, at what time. Customers also change their order the evening before, and empty crates have to come back. This template keeps one stop’s goods and its returns on a single sheet that the driver can fill in under a dim cab light.
Fields to prepare
- Deliverables and line items
- Sourdough loaves, 800 g, sliced, Bread rolls, boxes of 40, Butter croissants, trays of 24, Empty crates collected: record the quantity actually shipped for each line; prices stay off the note.
- Sourdough loaves, 800 g, sliced
- Count loaves by the weight and slicing the customer ordered; a sliced loaf is not an unsliced one, and a café that wanted it whole will say so by lunchtime.
- Bread rolls, boxes of 40
- Rolls are packed by the box of forty, so record boxes and, separately, any loose extras; a missing box is noticed in the morning rush.
- Butter croissants, trays of 24
- Write the delivery time, since pastry is at its best in the first hours; a tray left at a closed door at five has a long wait before opening.
- Empty crates collected
- Count empty crates and trays collected, with the number left behind; unreturned crates are a real cost and this line is the only record of who holds how many.
- Order and delivery
- Quote the order or invoice number the delivery belongs to, the delivery date and the address the goods go to.
- Shipment
- Give the number of packages, the carrier or shipping method and the tracking number.
- Scope to agree
- Write each stop’s standing order and any change called in the evening before, record what was left in the delivery box, and count crates and trays collected on the same note.
Before sending
- Was “Sourdough loaves, 800 g, sliced” counted when it was packed, and does the count match the order?
- If “Bread rolls, boxes of 40” ships short, does the note say how many follow and when?
- Will the receiver be able to check “Butter croissants, trays of 24” against this note on arrival?

- Check the delivery address, the number of packages and the order or invoice number the delivery belongs to.
- Count each line against the order, and list anything that ships later rather than leaving it off.
- Leave prices off the note unless the customer asks for them; they belong on the invoice.

What the document must show
These details make a delivery note easier to approve and to file.
- Your company name and address
- The customer's name and delivery address
- Note number and delivery date
- The order or invoice it belongs to
- Each item with the quantity delivered
- Packages and carrier or tracking number
- A line for the recipient's signature and date
This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals.
Frequently asked questions
What should I write when nobody is there to sign?
Write the time, the place the goods were left, such as the lockable box by the side door, and your initials. Ask each customer once to name the drop point in writing, so that a later query has an answer.
How are day-old returns handled on the note?
List unsold bread you take back as its own line and write the agreed rule: credited at a share of the price, or collected for free. Without the line, “we threw away forty rolls” cannot be checked.
Does this delivery note show prices or tax?
This document prints quantities without prices, so no tax appears on it unless you switch its line columns to prices and totals. The worked example above counts 48 units and nothing else.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
