Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Regular weekly classes, per class" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Teacher training module, per day". Confirm delivered sessions and attendance and hand over agreed materials and feedback.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
A freelance yoga or pilates teacher usually bills each studio once a month for the classes taught, and the studio checks every line against its timetable. Regular classes, cover for colleagues, workshops and teacher training are paid differently, and workshop income is often shared. This template keeps those four on separate lines and leaves the notes for class dates, the agreed split on workshops and any travel to a second venue.

Frequently asked questions
How do I bill companies or private clients as well?
Send each payer its own invoice. A company class has its own rate, location and booking contact, and a private client should not see what you charge a studio.
What if a class was cancelled for low attendance?
Bill it if your agreement with the studio pays a fee for classes cancelled at short notice, and mark it as cancelled with its date. Otherwise leave it off and mention it, so both timetables still match.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $114.80 on a net amount of $1,435.00, for a total of $1,549.80. The editor recalculates all three when you change a quantity, a price or the country.
Can I change the layout and colour?
Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
Can I email it to the customer?
Yes, from your own mail app. With a free account, the editor’s download menu offers Email this document, which opens your mail app with a message about the document already written. QuoteBill sends nothing itself, so save the PDF and attach it before you send.
