Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Wedding day coverage, per hour" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Travel beyond the included distance, per km". Hand over approved versions and a file manifest, confirming usage scope and completed revisions.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

A wedding photographer usually invoices twice: a retainer when the date is booked, then the balance before or shortly after the wedding. This template is for the balance invoice, where the couple expects to see the coverage they booked, any hours added on the day, the second photographer, the album, travel and the retainer they have already paid. Keeping each on its own line answers the question couples ask most often after the day: what exactly the final amount is for.

Worked example: a full-day wedding with an album

The figures are an example in dollars, with an example tax rate of 8%. A photographer bills eight hours of coverage, six hours of a second photographer, the edited gallery, a 30-page album and 60 km of extra travel.

Worked example: a full-day wedding with an album
ItemQuantity × unit priceAmount
Wedding day coverage, per hour8 × $220.00$1,760.00
Second photographer, per hour6 × $90.00$540.00
Editing and online gallery1 × $650.00$650.00
Printed album, 30 pages1 × $480.00$480.00
Travel beyond the included distance, per km60 × $0.60$36.00
Subtotal$3,466.00
Sales tax (8%)$277.28
Total$3,743.28

The lines add up to $3,466.00; tax at 8% is $277.28, for an invoice total of $3,743.28. The notes show the retainer paid at booking and the balance the couple still has to pay.

Mistakes on a wedding photography invoice

  • Billing the full package without showing the retainer the couple already paid.
  • Charging overtime that nobody confirmed on the day.
  • Leaving out how many edited images are delivered and by when.
  • Charging all travel instead of only the distance beyond the package.
  • Adding the album before the couple has approved its design.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

How do I show the retainer the couple paid at booking?

Keep the lines at their full price and write in the notes the retainer received, with its date, and the balance now due. The total then matches the contract, and the couple sees at a glance what is left to pay.

When should the balance invoice go out?

When the contract says. Photographers often ask for the balance a few weeks before the wedding and bill any overtime afterwards on a small separate invoice, so the couple never pays for hours that have not happened yet.

What if the couple asks for extra hours on the day?

Note who agreed to the extra time and when, and bill it at the hourly rate in the contract. A short message confirming it on the day saves an argument when the invoice arrives.

Should image rights be mentioned on the invoice?

A short note helps: the couple may use and share the images privately, while you keep the copyright and may show selected photos in your portfolio if the contract allows it.

How do I bill an album ordered months after the wedding?

Issue a separate invoice for it once the couple approves the design, quoting the original booking. The wedding invoice stays closed and paid, and the album has its own payment date.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Can I change the layout and colour?

Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
