Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Messaging session and tone of voice notes", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Extra revision round", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Deliver the activity log, results with reporting periods and data sources, and a list of next actions. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Website text is usually the last thing to arrive and the thing that holds a launch back. A copywriter who quotes by the page, rather than by the word, gives the client a price that does not move when a page needs a few more sentences. This template starts with a session to agree what the business wants to say and how it should sound, prices the home page apart because it carries the most weight, and adds the search titles and descriptions every page needs.

Fields to prepare

Deliverables and line items
Messaging session and tone of voice notes, Home page copy, Inner page copy, per page, Search titles and descriptions, per page, Extra revision round: specify the planned quantity and delivery scope for each item.
Messaging session and tone of voice notes
Say what the session produces, such as three key messages and a short tone of voice note the client approves.

List the accounts, sites or campaigns and the number of publishing, analysis or optimization tasks.
Period and reporting basis
Set the service period, comparison baseline, client-supplied data and report delivery date.
Scope to agree
Price pages rather than words, say how many revision rounds each page gets, and agree who supplies facts, product details and approvals.

Frequently asked questions

The client wants the copy translated as well. Is that part of this quotation?

No. Translation is separate work, usually priced per word by a translator. Name it in the notes as excluded, or add it on its own lines if you arrange it.

Who checks the facts in the copy?

The client. You write from the material supplied, and the client confirms prices, claims and legal statements before the pages go live. Say so in the notes.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $215.60 on a net amount of $2,695.00, for a total of $2,910.60. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
