Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Personal income return, one year" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Reply to a query from the revenue office". Match the client-approved version to the delivered file list and record unresolved items separately.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Preparing someone's tax return is rarely one task. A return with two rental flats needs a schedule for each, a client who arrives with a box of loose receipts needs hours of sorting before any figure can be entered, and a question from the tax office months later is more work again. This template prices those parts separately, names the tax year, and keeps the fee for the return itself easy to compare from one year to the next.
Fields to prepare
- Deliverables and line items
- Personal income return, one year, Rental income schedule, per property, Sorting unorganised receipts, Reply to a query from the revenue office: record the quantities actually supplied and the service period.
- Personal income return, one year
- Name the tax year and the main form filed, and say whether the fee includes filing it electronically.
- Rental income schedule, per property
- Bill one schedule per property and identify each by its street rather than the full address.
- Sorting unorganised receipts
- Charge for sorting only when records arrived unsorted, and say how many hours it took.
- Reply to a query from the revenue office
- Quote the date of the query and attach your reply, so the client sees what was answered.
- Processing period and volume
- Record the service month, transaction or headcount volume, source-data cutoff and missing inputs.
- Approval and delivery
- Name the client reviewer and define delivered files, submission date and included correction rounds.
- Scope to agree
- Name the tax year and the forms prepared, price extra schedules per property or source of income, and bill the clean-up of messy records apart from the return itself.
Before sending
- Does “Personal income return, one year” show the quantity actually supplied, not the quantity first quoted?
- Is “Rental income schedule, per property” charged at the rate the customer agreed to, with any change approved?
- Is “Sorting unorganised receipts” finished and accepted, or does it belong on a later invoice?
Show 4 more
- Does “Reply to a query from the revenue office” show the quantity actually supplied, not the quantity first quoted?
- Agree charges for late inputs and corrections after the cutoff.
- Use necessary service references on the invoice without including detailed personal records.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
Worked example with sample figures
The figures below are invented to show how the template adds up: 4 lines in USD, with an example tax rate of 8%.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Personal income return, one year | 1 × $280.00 | $280.00 |
| Rental income schedule, per property | 2 × $90.00 | $180.00 |
| Sorting unorganised receipts | 1 × $75.00 | $75.00 |
| Reply to a query from the revenue office | 1 × $60.00 | $60.00 |
| Subtotal | $595.00 | |
| Sales tax (8%) | $47.60 | |
| Total | $642.60 | |
Net amount $595.00, sales tax $47.60, total payable $642.60.
What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
Should the refund or the amount owed appear on my invoice?
No. The invoice is for your work, not for the result of the return. Give the figures in your cover letter, and keep the fee independent of the size of any refund.
The client brought documents after the return was filed. How do I bill the amendment?
Bill the amended return as a new line with its own date and say what changed. If the papers came late from the client, the amendment is new work; if the error was yours, correct it without charge.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $47.60 on a net amount of $595.00, for a total of $642.60. The editor recalculates all three when you change a quantity, a price or the country.
Can I use it in another language or currency?
Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
