Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Excavation and spoil removal", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Water fill, start-up and handover", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

An in-ground pool is several trades in one project: an excavation, a structural shell, plumbing and filtration, paving around the edge and the first fill. Clients tend to focus on size and finish, so the quotation should show where the money really goes. This template keeps shell, filtration and surrounds on separate lines and ends with start-up and handover, the stage where the owner learns how to keep the water clear.

Excavation and spoil removal

Site and measured quantities
Record the site, work zones, areas, lengths or counts, and access hours.
Materials and work stages
Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
Scope to agree
Separate the shell, the equipment and the surrounds, give the pool’s size and depth profile, and say who checks local rules on permission and safety barriers.

Before sending

  • Would the customer read “Pool shell: concrete, or panels with liner” the way you do, including what it leaves out?
  • Can you still honour the price of “Filtration, pump and pipework” on the last day the quotation is valid?

Frequently asked questions

Should the quotation mention safety barriers or permission?

Rules on pool barriers and permission differ widely, so do not judge them on the quotation. Say who checks the local requirements and price any barrier as a separate line once they are known.

What if rock or groundwater turns up during excavation?

Exclude both in the notes and give rates in advance: per hour for breaking rock and per day for pumping water out. The client then knows the cost of the risk before signing.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $2,008.00 on a net amount of $25,100.00, for a total of $27,108.00. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as QUO-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
