Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Haircut" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Hair treatment". Confirm completed services and quantities with the customer and retain the handover record.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Most salon visits end at the till with a receipt, so an invoice is for the other cases: a bridal party settled by one person, a photo shoot or stage production that books several stylists, or a regular client who wants the bill in a company's name. This template lists cut, color and treatment separately because each has its own price, and color often changes with hair length or the amount of product used.

Fields to prepare

Deliverables and line items
Haircut, Hair coloring, Hair treatment: record the quantities actually supplied and the service period.
Haircut
Name the service as your price list does, for example a restyle or a trim, and the stylist if your prices differ by stylist level.
Hair coloring
State the technique and any length or extra-product surcharge agreed before you started, so the invoice shows the price the client accepted.
Hair treatment
Bill a treatment sold with a color as its own line, and put any product the client took home on a separate line, not inside the service.
Intake and service
Record the intake reference, service date, quantity and agreed service scope.
Extras and handover
Separate approved extras, supplied items and the completion or handover time.
Scope to agree
Separate cut, coloring and treatment services and record agreed adjustments for length or additional materials.

Before sending

  • Does “Haircut” show the quantity actually supplied, not the quantity first quoted?
  • Is “Hair coloring” charged at the rate the customer agreed to, with any change approved?
  • Is “Hair treatment” finished and accepted, or does it belong on a later invoice?
Show 3 more
  • Reconcile the booked scope with any extra services actually supplied.
  • Check that services included in a package have not also been billed separately.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

The details an invoice has to show, and why each one matters, are set out in the guide below.

Frequently asked questions

How do I bill a wedding party where one person pays for everyone?

Put one line per guest and service, such as Bridesmaid 2: blow-dry and styling, and address the invoice to the person paying. If a deposit secured the date, show it in the notes with the date it was paid and ask for the balance.

What if a client asks for a color correction a few days later?

Follow your salon's correction policy and write it down. A free correction within the agreed period can appear as a line at zero, which keeps a record of the visit; a new color chosen by the client is a new service at the usual price.

How is the sales tax worked out on this invoice?

The worked example above uses an example rate of 8%: $4,896.00 on a net amount of $61,200.00, for a total of $66,096.00. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I download it as Excel, Word or PDF?

Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
