Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Late cancellation fee, appointment of the 12th" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Materials ordered for the cancelled booking". Confirm completed services and quantities with the customer and retain the handover record.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

An empty appointment slot costs a physiotherapist, a hair salon or a guided-tour host the same as a full one. Many therefore publish terms that charge a fee when a booking is cancelled at short notice or the client simply does not appear. This invoice bills that fee. It quotes the appointment, when the client cancelled and the term they accepted, and it keeps costs already incurred for the booking on a separate line.

Fields to prepare

Deliverables and line items
Late cancellation fee, appointment of the 12th, No-show fee, appointment of the 19th, Materials ordered for the cancelled booking: record the quantities actually supplied and the service period.
Late cancellation fee, appointment of the 12th
State the appointment and when the cancellation arrived, for example “cancelled 3 hours before, terms require 24 hours”.
No-show fee, appointment of the 19th
For a no-show, note that no message came at all; some clients pay faster once they see the time recorded.
Materials ordered for the cancelled booking
Bill materials or tickets bought for the booking at cost, with the receipt, and only if they cannot be used for someone else.
Intake and service
Record the intake reference, service date, quantity and agreed service scope.
Extras and handover
Separate approved extras, supplied items and the completion or handover time.
Scope to agree
Quote the booking, the time the cancellation came in and the term that sets the fee, and bill only what your published terms allow.

Before sending

  • Does “Late cancellation fee, appointment of the 12th” show the quantity actually supplied, not the quantity first quoted?
  • Is “No-show fee, appointment of the 19th” charged at the rate the customer agreed to, with any change approved?
  • Is “Materials ordered for the cancelled booking” finished and accepted, or does it belong on a later invoice?
Show 3 more
  • Reconcile the booked scope with any extra services actually supplied.
  • Check that services included in a package have not also been billed separately.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

Frequently asked questions

Can I charge a cancellation fee if the client never saw my terms?

That is risky. A fee is easiest to defend when the client accepted the terms at booking, for example by ticking a box or signing a form. Consumer protection rules also limit what can be charged in some countries, so check before you invoice.

Is tax added to a cancellation fee?

Countries treat it differently: some see the fee as payment for the reserved service, others as compensation outside the tax. Ask your adviser and set the rate on the invoice to match.

How is the sales tax worked out on this invoice?

The worked example above uses an example rate of 8%: $11.44 on a net amount of $143.00, for a total of $154.44. The editor recalculates all three when you change a quantity, a price or the country.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.

Can I change the layout and colour?

Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
