Preparation guide
Example workflow
Confirm scope and quantities
Example: start with "Post footings, per post", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Stain, paint or powder-coat finish", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
A pergola sits between garden furniture and building work: posts set in the ground, a frame, and a roof that ranges from open slats to adjustable louvres. The quotation should make clear which of these the client is getting, because an open timber pergola and a louvred aluminium one can share a footprint but not a price. This template separates footings, frame, roof and finish, and leaves room in the notes for whether it is fixed to the house wall.
Fields to prepare
- Deliverables and line items
- Post footings, per post, Timber or aluminium frame, supply and erect, Roof: louvres, polycarbonate or slats, per m², Stain, paint or powder-coat finish: specify the planned quantity and delivery scope for each item.
- Post footings, per post
- Give footing size and depth per post and say whether posts are set in concrete or on bolted post shoes.
- Timber or aluminium frame, supply and erect
- Name the timber species or aluminium profile, the beam spans and the overall size and height.
- Roof: louvres, polycarbonate or slats, per m²
- Say whether the roof keeps rain out, gives partial shade or is purely decorative, and price it per square metre.
- Stain, paint or powder-coat finish
- State the finish and how often a timber finish will need renewing, so upkeep does not come as a surprise.
- Site and measured quantities
- Record the site, work zones, areas, lengths or counts, and access hours.
- Materials and work stages
- Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
- Scope to agree
- Give the footprint and height, the material of posts and beams, and what the roof does in rain, because many clients expect shelter that open slats do not give.
Before sending
- Does “Post footings, per post” say what is included and what quantity the price assumes?
- Would the customer read “Timber or aluminium frame, supply and erect” the way you do, including what it leaves out?
- Can you still honour the price of “Roof: louvres, polycarbonate or slats, per m²” on the last day the quotation is valid?

Frequently asked questions
Does a pergola need permission?
That depends on its size, height, position and the local rules, so the quotation should not say either way. Ask the client to check, and flag it in the notes when the pergola is fixed to the house or stands close to a boundary.
What if the client wants lights or heaters added later?
Say whether cable routes are prepared inside the posts now, which costs little during the build. Price the fittings and the electrician’s work as a separate option.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $352.16 on a net amount of $4,402.00, for a total of $4,754.16. The editor recalculates all three when you change a quantity, a price or the country.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
How is the document numbered?
QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as QUO-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
