Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Facility inspection" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Facility inspection record". Deliver the service record, materials used, unresolved issues and the agreed next visit date.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Maintenance firms working for Norwegian housing cooperatives, offices or industrial sites send their invoices in bokmål, the written form of Norwegian most businesses use. With this template the labels print in Norwegian, Norway is the preset country, amounts appear in kroner and the tax line is merverdiavgift, shortened to MVA. The sample lines follow a service visit: inspecting a facility, preventive maintenance and the inspection record the customer files with each invoice.

Fields to prepare

Deliverables and line items
Facility inspection, Preventive maintenance, Facility inspection record: record the quantities actually supplied and the service period.
Facility inspection
Name the building or installation and the inspection date, and bill each inspection visit as one unit.
Preventive maintenance
Refer to the maintenance agreement and its interval, such as quarterly service, and put repairs found during the visit on a separate line.
Facility inspection record
Give the report number and send the report with the invoice; many customers wait for the report before approving payment.
Assets and visits
Record the asset or area, visit dates, visit count and access arrangements.
Labor and materials used
Separate labor hours, quantities of parts or consumables, and work outside the recurring scope.
Scope to agree
Link inspected facilities and asset identifiers, maintenance intervals and submitted inspection-record references.

Before sending

  • Does “Facility inspection” show the quantity actually supplied, not the quantity first quoted?
  • Is “Preventive maintenance” charged at the rate the customer agreed to, with any change approved?
  • Is “Facility inspection record” finished and accepted, or does it belong on a later invoice?
Show 4 more
  • Match extra parts and return-visit charges to approved work.
  • Record the initial condition and the post-service checks.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.
  • Confirm document language (nb), country setting (NO), and the customer's currency and date-format requirements.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The MVA here is 25%, applied to the net amount and shown as its own line.

Frequently asked questions

What does a Norwegian seller write next to its organization number?

A seller listed in the Norwegian VAT register writes “MVA” right after its organization number on sales documents, as the bookkeeping rules currently require, so enter it that way in your company details. The Norwegian Tax Administration (Skatteetaten) explains what else a sales document has to show.

How do I invoice a yearly maintenance agreement?

Invoice the periods the agreement sets, often quarterly or twice a year, each naming the period and the visits it covers. Repairs outside the agreement go on separate invoices, so the recurring amount stays the same every time.

Do I need the customer’s reference person on the invoice?

Larger Norwegian customers often ask for their reference person or order number (“Deres ref.”) on every invoice and return invoices without it. Ask for it when the agreement is signed and add it to the notes.

How is the MVA worked out on this invoice?

In the worked example above, MVA at 25% on the net amount of NOK 92,000.00 is NOK 23,000.00, so the total is NOK 115,000.00. The editor recalculates all three when you change a quantity, a price or the country.

How should I number invoices?

Use one unbroken sequence per business, never reuse a number, and issue a credit note rather than deleting an invoice you have already sent.
