Preparation guide
Example workflow
Confirm scope and quantities
Example: start with "Structured cabling", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Network performance measurement", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Deliver the agreed test results and configuration notes, and assign owners for outstanding items. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
An office network is quoted after a site survey, once the installer knows the floor plan, the number of desks and where the cabinet will stand. This template prices the three parts of a typical fit-out: cabling to each outlet, mounting the wireless access points and measuring the finished network. Electricians and network contractors send it to office managers or fit-out companies, who often lay it beside two or three other quotations and compare them line by line.
Fields to prepare
- Deliverables and line items
- Structured cabling, Wireless equipment installation, Network performance measurement: specify the planned quantity and delivery scope for each item.
- Structured cabling
- Quote per outlet or per cable run with the cable category, and state that patch panels and testing of every run are included.
- Wireless equipment installation
- Name the access point model and quantity, the mounting position, ceiling or wall, and whether you or the client supplies the equipment.
- Network performance measurement
- Say what is measured, such as Wi-Fi coverage and throughput per room, and that results come as a written report with a floor plan.
- Environment and dependencies
- Record target systems, integration counts, data volume and who supplies test access.
- Acceptance and support
- Set acceptance scenarios, the review window, support duration after handover and excluded work.
- Scope to agree
- Specify cable lengths and port counts, wireless devices, measurement locations and performance-report format.
Before sending
- Does “Structured cabling” say what is included and what quantity the price assumes?
- Would the customer read “Wireless equipment installation” the way you do, including what it leaves out?
- Can you still honour the price of “Network performance measurement” on the last day the quotation is valid?

Worked example with sample figures
The figures below are invented to show how the template adds up: 3 lines in USD, with an example tax rate of 8%.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Structured cabling | 10 × $650.00 | $6,500.00 |
| Wireless equipment installation | 10 × $120.00 | $1,200.00 |
| Network performance measurement | 5 × $650.00 | $3,250.00 |
| Subtotal | $10,950.00 | |
| Sales tax (8%) | $876.00 | |
| Total | $11,826.00 | |
Quoted net amount $10,950.00, sales tax $876.00, quoted total $11,826.00.
What the document must show
The details a quotation has to show, and why each one matters, are set out in the guide below.

Frequently asked questions
What if the building needs ceiling access or core drilling?
List it as a separate line or a stated assumption, because lifting ceiling tiles or drilling through walls is often the cost that changes after the survey. Say too what happens if hazardous materials are found behind a wall.
Do the switches and router belong in the quotation?
Include them on separate lines with model numbers if you supply them. If the client buys the equipment, say who configures it, since configuration is often expected but rarely priced.
What documentation should the client receive at the end?
Offer a cable schedule with outlet numbers, the test result for each run and the wireless measurement report. Naming them in the quotation stops the handover from turning into a debate about what was promised.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $876.00 on a net amount of $10,950.00, for a total of $11,826.00. The editor recalculates all three when you change a quantity, a price or the country.
How do I turn an approved quotation into an invoice?
Open the approved quotation and convert it. The original stays unchanged, and the invoice carries the same line items so the customer can match the two documents.
