Preparation guide

Example workflow

  1. Match the payment to the invoice

Example: check the payment for "Hand-thrown mug, glazed" against the invoice it settles: the invoice number, the amount received and any balance still owed.

  2. Record the payment

Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Gift wrapping".

  3. Send the receipt

Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.

At a craft fair or a weekend market, a buyer who asks for a receipt usually wants one of three things: proof for a gift that may come back, your name to find you again, or a record for their own expenses. A market stall receipt is short and written fast, sometimes in the rain. This template lists each piece on its own line with a word that identifies it, keeps wrapping apart, and has room for your stall name and contact details.

Fields to prepare

Deliverables and line items
Hand-thrown mug, glazed, Linen tea towel, printed, Gift wrapping: the lines this payment covers, as they appear on the invoice it settles.
Hand-thrown mug, glazed
Add a word that tells this mug from the others, such as the glaze colour, since each hand-thrown piece is slightly different.
Linen tea towel, printed
Give the quantity and the print, so a buyer who comes back for a matching set knows what to ask for.
Gift wrapping
If wrapping is free on the day, leave the line at zero rather than deleting it; it shows the buyer what they received.
Payment details
Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
Invoice reference
Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
Scope to agree
Keep one numbered sequence across market days, describe one-off pieces so they can be recognised on return, and say whether you accept exchanges after the event.

Before sending

  • Does “Hand-thrown mug, glazed” match the line on the invoice this payment settles?
  • Has the money for “Linen tea towel, printed” actually arrived, in full or in part?
  • Is “Gift wrapping” shown at the amount received, with any balance still owed noted?
Show 3 more
  • Confirm the money has actually arrived before you issue the receipt.
  • Check that the amount received matches the invoice, and note any difference as a balance or an overpayment.
  • Quote the invoice number it settles, and keep receipt numbers in a sequence of their own.

What the document must show

The details a receipt has to show, and why each one matters, are set out in the guide below.

Frequently asked questions

Do I need a separate receipt book for each market?

Not a separate book, but number your receipts in one sequence and write the market and the date on each. At the end of the day the numbers tell you how many sales you wrote up.

A buyer wants a tax invoice for their shop. What do I give them?

A market receipt shows what was paid. If the buyer is a business and needs a tax invoice, take their details and send one afterwards if you are registered to issue it; check what it must contain with your adviser.

How is the sales tax worked out on this receipt?

The worked example above uses an example rate of 8%: $5.20 on a net amount of $65.00, for a total of $70.20. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.

How is the document numbered?

QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
