Preparation guide
Example workflow
Match the quotation
Example: take "CNC vertical machining centre, model VM-850" from the supplier's quotation and copy its quantity, unit price and specification exactly.
Approve and send
Confirm the delivery date and address for every line, including "Starter spares kit: filters, belts, seals", then sign the authorized-by line and send the order.
Receive and reconcile
When the goods arrive, check them against the order, then match the supplier's invoice to the order number before paying.
A machine is bought once and lived with for years, so the order has to cover more than the price on the plate. The supplier’s promise includes the options fitted at the factory, who sets the machine on its feet, who trains the operators and what spares arrive with it. This template separates those lines and leaves the notes for what decides the deal later: payment steps, site readiness, the acceptance test and when the warranty starts.
Fields to prepare
- Deliverables and line items
- CNC vertical machining centre, model VM-850, Rotary table, 4th axis, fitted at the factory, Installation, levelling and commissioning, Operator training on site, 3 days, Starter spares kit: filters, belts, seals: state the quantity, unit and agreed price for each line, as the supplier quoted it.
- CNC vertical machining centre, model VM-850
- Copy the model and configuration from the supplier’s written quote, including the control software version and the voltage and phase the machine is built for.
- Rotary table, 4th axis, fitted at the factory
- List options as their own priced lines, with the wiring and software they need, so a machine does not arrive with the table in the crate but no control for it.
- Installation, levelling and commissioning
- Say who supplies the crane or forklift for unloading and who is liable for damage in transit; installation prices often assume the machine is already inside the building.
- Operator training on site, 3 days
- Name the number of people trained and the language of the sessions, and keep the days close to commissioning so the skill is used while it is fresh.
- Starter spares kit: filters, belts, seals
- Ask for the kit contents as a list with part numbers, and for the price list of the wear parts you will reorder, since those are what stops the machine first.
- Supplier and quotation
- Name the supplier and quote the number of the quotation this order accepts, so each price can be traced to the offer.
- Delivery
- Give the delivery date, the address the goods go to, the shipping method and who receives them.
- Scope to agree
- Name the exact model and options, the payment steps tied to delivery and acceptance, the site conditions you will prepare, and when the warranty starts.
Before sending
- Does “CNC vertical machining centre, model VM-850” match the supplier’s quotation in specification, quantity and price?
- Are a delivery date and a receiver agreed for “Rotary table, 4th axis, fitted at the factory”?
- Has the budget holder approved the spend on “Installation, levelling and commissioning”?

- Does “Operator training on site, 3 days” match the supplier’s quotation in specification, quantity and price?
- Are a delivery date and a receiver agreed for “Starter spares kit: filters, belts, seals”?
- Check the supplier's quotation number, the delivery date and address, and who approved the order.
- Check that each quantity, unit and unit price matches the supplier's quotation.
- Give the order a number of its own, so the supplier can quote it on the delivery note and the invoice.
Worked example: a machining centre with installation and training
The figures are an example, in dollars. A workshop orders one vertical machining centre with a fourth-axis table, installation and commissioning, three days of operator training and a starter spares kit.
| Item | Quantity × unit price | Amount |
|---|---|---|
| CNC vertical machining centre, model VM-850 | 1 × $61,500.00 | $61,500.00 |
| Rotary table, 4th axis, fitted at the factory | 1 × $5,200.00 | $5,200.00 |
| Installation, levelling and commissioning | 1 × $2,400.00 | $2,400.00 |
| Operator training on site, 3 days | 3 × $650.00 | $1,950.00 |
| Starter spares kit: filters, belts, seals | 1 × $980.00 | $980.00 |
| Total | $72,030.00 | |
The five lines come to $72,030.00. The notes then split the payment: a share with the order, a share when the machine is delivered and the balance after the acceptance test, each against a signature. Tax is not shown here; enter the rate that applies to the buyer in the tax field if one is charged.
Common mistakes on a machinery order
- Naming the machine family but not the exact model and options, so the quote cannot be matched to what arrives.
- Paying the full price before the acceptance test, which removes the buyer’s only leverage.
- Leaving the warranty start date unwritten, so the cover begins on the shipping date.
- Assuming the supplier will arrange the crane and the foundation, and finding out on delivery day.
- Skipping the delivery date or giving one that ignores the supplier’s production time.

Frequently asked questions
Should payment on a machine order be tied to milestones?
It usually is: a share with the order, a share on delivery and the balance after the acceptance test. Write the shares in the notes so that each payment can be released only when its step is signed.
When should the warranty start?
State it: from the signed acceptance, not from shipping. Otherwise the clock can run while the machine sits crated, waits for power or is commissioned late, and part of the cover is gone before the first part is cut.
Who unloads and positions the machine?
Settle it in the order: who brings the crane, who carries the risk until the machine stands on its foundation and who insures the transport. A machine dropped during unloading becomes a dispute if the order is silent.
What should the order say about the site being ready?
List what you will prepare: floor loading, power supply, compressed air, space for the crane. Add the date by which you confirm readiness, so a late foundation is not blamed on a supplier who arrived on time.
Should options and software be separate lines?
Yes, each with its own price and its version or part number. Separate lines let you drop an option without reopening the whole price, and stop a feature you thought was included from turning up as an extra.
Is a spares kit worth ordering with the machine?
Usually. A starter kit puts filters, belts and seals on the shelf from the first day, and their price is fixed while you still have bargaining power. Add the kit as a line and ask for its contents as a list.
How is tax calculated on this template?
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.
Is a purchase order the same as an invoice?
No. The buyer sends a purchase order to ask for goods or services at agreed prices; the supplier sends an invoice to ask for payment. Quote the order number on the invoice so the two can be matched.
