Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Planting plan", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Irrigation installation", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Landscapers quote a new planting scheme with this template: drawing the planting plan, planting the trees and installing the irrigation that keeps them alive. It is a one-off project quotation, unlike a garden maintenance invoice for regular visits. Plant size drives the price more than anything else, so state the size you priced for each tree, by height or container size, and how long you replace plants that fail, if you offer that at all.

Before sending

  • Does “Planting plan” say what is included and what quantity the price assumes?
  • Would the customer read “Tree planting” the way you do, including what it leaves out?
  • Can you still honour the price of “Irrigation installation” on the last day the quotation is valid?

  • Agree how quantity changes following measurement or drawing revisions will be approved.
  • Confirm client-supplied materials and work that other contractors must finish first.

Frequently asked questions

How do I handle substitutions when a species is not available?

Write in the quotation that a similar plant of the same size may be substituted with the customer’s approval, at the same price per plant. Record any substitution in the invoice description later, so the plan and the planted garden still match.

Should aftercare watering be part of the quotation?

If you offer it, add a line with the period and the number of visits. If not, write that the customer takes over watering after planting, so a plant that dies in a dry month is not blamed on the planting itself.

Can I quote now and plant in a later season?

Yes. State the planned planting window and that plant prices are confirmed when the plants are ordered from the nursery, since stock and prices change between seasons. The labor and irrigation lines can usually stay as quoted.

How is the sales tax worked out on this quotation?

The worked example above uses an example rate of 8%: $371.20 on a net amount of $4,640.00, for a total of $5,011.20. The editor recalculates all three when you change a quantity, a price or the country.

Can I use it in another language or currency?

Yes. The document language can be set to any of 33 languages, and changing the country setting updates the currency, the date format and the tax rate.
