Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Staging consultation and written report" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Removal of all rental items at the end of the term". Hand over approved versions and a file manifest, confirming usage scope and completed revisions.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Home staging mixes advice, furniture rental and labour, and the client is often a seller or an agent who pays before the property has sold. The invoice has to show which part is a fee, which part rents by the month and which part is the one-off work of delivery and removal, so that an early or late sale changes only the rent. This template separates the consultation, the monthly rental, the styling day and the removal, and keeps address and term in the notes.

Fields to prepare

Deliverables and line items
Staging consultation and written report, Furniture and accessory rental, per month, Delivery, installation and styling day, Removal of all rental items at the end of the term: record the quantities actually supplied and the service period.
Staging consultation and written report
State the property address and the rooms the report covers; the consultation is paid even if the owner stages only the living room.
Furniture and accessory rental, per month
Give the monthly price for the whole inventory, the start date and the number of months, and say whether a part month counts as a full one.
Delivery, installation and styling day
Record how many people worked and for how many hours, and the date; clients compare it with the time they were told to expect.
Removal of all rental items at the end of the term
Say that removal falls at the end of the term or at completion of the sale, whichever comes first, and name who gives access; a missed access day is the usual cause of extra rent.
Quantity and output format
Record pages, images, word counts or running time, final file formats and whether editable source files are included.
Review and usage scope
Specify the draft approver, revision rounds, intended media and duration, and who supplies third-party assets.
Scope to agree
Name the property address and the rental term, say how many rooms were staged, who bears loss or damage to the furniture, and what happens if the sale takes longer than the term.

Before sending

  • Does “Staging consultation and written report” show the quantity actually supplied, not the quantity first quoted?
  • Is “Furniture and accessory rental, per month” charged at the rate the customer agreed to, with any change approved?
  • Is “Delivery, installation and styling day” finished and accepted, or does it belong on a later invoice?

  • Does “Removal of all rental items at the end of the term” show the quantity actually supplied, not the quantity first quoted?
  • Agree when a change of direction after draft approval becomes additional work.
  • Check separately whether editable sources and final delivery files are included.
  • Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

Worked example: staging a three-bedroom house for two months

The figures are an example in dollars, with an example tax rate of 8%. A stager prepares a written report, rents furniture and accessories for two months, installs them in one styling day and removes everything when the term ends.

Worked example: staging a three-bedroom house for two months
ItemQuantity × unit priceAmount
Staging consultation and written report1 × $280.00$280.00
Furniture and accessory rental, per month2 × $1,450.00$2,900.00
Delivery, installation and styling day1 × $650.00$650.00
Removal of all rental items at the end of the term1 × $520.00$520.00
Subtotal$4,350.00
Sales tax (8%)$348.00
Total$4,698.00

The four lines come to $4,350.00; tax at 8% is $348.00, so the owner is invoiced $4,698.00. The address, the rooms staged and the rule for a longer term go in the notes.

Common mistakes on a home staging invoice

  • Billing the whole job as one sum, so nobody can see which part is rent and what a shorter term would change.
  • Not saying who gives access and when, so removal is delayed and the rent keeps running.
  • Leaving out who bears loss or damage while the pieces are in the house.
  • Forgetting the start date of the rental term.
  • Mixing a buyer’s purchase of a piece into the rental line.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

What if the property sells before the term ends?

Write the rule in the notes: whether the rent stops at completion or runs to the end of the term, and any minimum charge. For an invoice sent in advance, say how a shorter period is settled instead of altering the rent line afterwards.

Who is responsible for damage to the furniture?

State it in the notes before the installation, normally the owner for damage and loss while the pieces are in the house, apart from fair wear. Photograph the rooms at the end of the styling day so there is a record of what was installed.

Can the buyer take over pieces of the staging?

Sometimes, and it is worth deciding in advance. If a buyer buys items, list them with a sale price on a separate line and take them off the rental, so the owner is not charged for the same piece twice.

Should the consultation be billed if the owner does not go ahead?

Yes, once the report has been delivered, because it is finished work. Say what the report contains and the date you delivered it, so the client sees something that stands on its own.

How do I invoice an extension beyond the agreed term?

Add a line for the extra months at the monthly rate, with the dates they cover, and refer to the number of the first invoice. Agree it in writing beforehand so the extension is not a surprise.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
