Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Replace a misted double-glazed unit, 1200 x 900 mm" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "New glazing beads and gaskets". Confirm completed quantities, site photos, agreed test results and any remaining remedial work.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Glass work often happens twice at the same opening: a board-up the night something breaks, and the new pane once it has been made. This invoice treats them as two lines with two dates, which matters when an insurer pays. Each replacement carries its size in millimetres and its glass type, such as toughened or laminated, so the client can match it to the frame. Beads and seals are listed separately because they are the first thing questioned on a repair.
Fields to prepare
- Deliverables and line items
- Replace a misted double-glazed unit, 1200 x 900 mm, Toughened glass door panel, made to measure, Emergency board-up after a break-in, New glazing beads and gaskets: record the quantities actually supplied and the service period.
- Replace a misted double-glazed unit, 1200 x 900 mm
- Write the unit size as measured in the frame and the glass make-up, for example 4-16-4 with a low-emissivity coating.
- Toughened glass door panel, made to measure
- Say which door the panel is for and why toughened glass was used, since a client may ask why it cost more than float glass.
- Emergency board-up after a break-in
- Record the time of the call and the board material used; the insurer will compare them with the incident report.
- New glazing beads and gaskets
- List beads and gaskets only if they were replaced rather than reused, and give the length.
- Site and measured quantities
- Record the site, work zones, areas, lengths or counts, and access hours.
- Materials and work stages
- Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
- Scope to agree
- Give every pane its size and glass type, date the board-up and the final glazing separately, and quote the incident or claim number when an insurer will see the invoice.
Before sending
- Does “Replace a misted double-glazed unit, 1200 x 900 mm” show the quantity actually supplied, not the quantity first quoted?
- Is “Toughened glass door panel, made to measure” charged at the rate the customer agreed to, with any change approved?
- Is “Emergency board-up after a break-in” finished and accepted, or does it belong on a later invoice?

Worked example with sample figures
The figures below are invented to show how the template adds up: 4 lines in USD, with an example tax rate of 8%.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Replace a misted double-glazed unit, 1200 x 900 mm | 1 × $165.00 | $165.00 |
| Toughened glass door panel, made to measure | 1 × $120.00 | $120.00 |
| Emergency board-up after a break-in | 1 × $95.00 | $95.00 |
| New glazing beads and gaskets | 1 × $25.00 | $25.00 |
| Subtotal | $405.00 | |
| Sales tax (8%) | $32.40 | |
| Total | $437.40 | |
Net amount $405.00, sales tax $32.40, total payable $437.40.
What the document must show
The details an invoice has to show, and why each one matters, are set out in the guide below.

Frequently asked questions
The repair is an insurance claim: what should the invoice show?
The claim or incident number, the date of the damage, the board-up and the final glazing as separate dated lines, and the address of the property, so the insurer can match it without asking.
Why bill the board-up apart from the new glass?
They happen on different days and meet different needs. Kept apart, the client sees the emergency cost at once and can approve the new unit after it has been measured.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $32.40 on a net amount of $405.00, for a total of $437.40. The editor recalculates all three when you change a quantity, a price or the country.
Is this template free?
Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
