Preparation guide

Example workflow

  1. Plan the job

Example: start with "Diagnose a door that will not close fully", set the scheduled date, assign the technician and note how to access the site.

  2. Do the work

Record the time and materials actually used, including "Auto-reverse safety test before handover", and anything found that needs a separate quote.

  3. Sign off and bill

Have the technician and the customer sign the completion lines, then make the invoice from the work order so the lines carry over.

A garage door that will not close is usually reported as one problem and turns out to be two: a frayed cable that lets one side drop, and sensors knocked out of line so the opener refuses to close. This work order sends the technician with the reported fault and leaves room for what was found. The cables, the sensor alignment and the safety test are priced lines, and the door is handed back only after it reverses correctly when something is in its way.

Fields to prepare

Deliverables and line items
Diagnose a door that will not close fully, Replace frayed lift cables, both sides, Realign the photo-eye safety sensors, Auto-reverse safety test before handover: describe the work and materials planned for each line, with the time or quantity expected.
Diagnose a door that will not close fully
Write what the customer saw and what you found, such as one cable off its drum, before any part is ordered.
Replace frayed lift cables, both sides
Replace cables in pairs and give their size, and check the drums and bottom brackets while the tension is off.
Realign the photo-eye safety sensors
Note that the sensors were cleaned and aligned and that their indicator lights are steady.
Auto-reverse safety test before handover
Record the test with an obstruction and with the beam blocked; if it fails, the door stays out of automatic use.
Job site and schedule
Give the job site address, the scheduled date and the person assigned, with any access or safety instructions.
Time and materials
Record the hours worked and the materials used on each line, as done rather than as planned.
Scope to agree
Describe the fault as the customer reported it and as you found it, leave spring and cable work to trained technicians, and hand the door back only after the safety test passes.

Frequently asked questions

What if the part needed is not on the van?

Make the door safe, leave it closed or in manual mode as the situation needs, record that on the work order, and book the return visit with the part on order.

The customer wants to keep using the door until the part arrives: what do I write?

Write what you did to make it safe, what you told the customer about using it, and that they accepted, with the date. If it is unsafe, say it was left out of use.

How is the sales tax worked out on this work order?

The worked example above uses an example rate of 8%: $14.00 on a net amount of $175.00, for a total of $189.00. The editor recalculates all three when you change a quantity, a price or the country.

How does a work order become an invoice?

When the job is done, open the work order and make an invoice from it. The lines, customer and prices carry over, and the work order stays as the record of what was agreed and done.

Can I download it as Excel, Word or PDF?

Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
