Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: start with "Infill of garage door opening with wall and window", confirm the required quantity and client inputs, then agree completion criteria for each item.

  2. Review and approve the quotation

Confirm acceptance evidence for "Approval and inspection fees (allowance)", all line quantities, exclusions and quote validity with the customer, and retain the approved version.

  3. Deliver and prepare billing

Confirm completed quantities, site photos, agreed test results and any remaining remedial work. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.

Turning a garage into a room is one of the cheaper ways to add space, but the details decide whether it feels like part of the house. The floor has to come up to the level of the hall and be insulated, the wide door opening becomes a wall with a window, and the cold block walls need lining. This quotation template follows those steps one by one and keeps approval fees as an allowance, because whether any are due depends on where the house is.

Fields to prepare

Deliverables and line items
Infill of garage door opening with wall and window, Floor raising, damp-proof membrane and insulation, per m², Wall and ceiling insulation and plasterboard, per m², Electrics: sockets, lighting and heating point, Approval and inspection fees (allowance): specify the planned quantity and delivery scope for each item.
Infill of garage door opening with wall and window
Say what the new wall is built of, what it stands on along the old door line, and the window’s size and type.
Floor raising, damp-proof membrane and insulation, per m²
Give the finished floor level you are matching and the membrane and insulation thickness, so the step into the house disappears.
Wall and ceiling insulation and plasterboard, per m²
Name the lining build-up, such as insulated plasterboard on battens, and measure walls and ceiling separately.
Electrics: sockets, lighting and heating point
Count sockets and lights and say how the room is heated, from the existing radiators or by an electric heater.
Approval and inspection fees (allowance)
Keep fees as an allowance and say who applies; whether approval is needed depends on local rules and the room’s use.
Site and measured quantities
Record the site, work zones, areas, lengths or counts, and access hours.
Materials and work stages
Specify materials, labor, removal, disposal and making-good allowances, and completion criteria for each stage.
Scope to agree
Show the door infill, the raised and insulated floor and the wall linings as separate lines, and say how the converted room will be heated and ventilated.

Worked example: an integral garage turned into a study

The figures are an example in dollars, with an example tax rate of 8%. A builder quotes the door infill with a window, 16 m² of raised and insulated floor, 48 m² of lined walls and ceiling, the electrics and an allowance for fees.

Worked example: an integral garage turned into a study
ItemQuantity × unit priceAmount
Infill of garage door opening with wall and window1 × $2,600.00$2,600.00
Floor raising, damp-proof membrane and insulation, per m²16 × $85.00$1,360.00
Wall and ceiling insulation and plasterboard, per m²48 × $46.00$2,208.00
Electrics: sockets, lighting and heating point1 × $1,150.00$1,150.00
Approval and inspection fees (allowance)1 × $600.00$600.00
Subtotal$7,918.00
Sales tax (8%)$633.44
Total$8,551.44

The lines come to $7,918.00 before tax; tax at 8% adds $633.44, so the quotation totals $8,551.44. If no fee turns out to be payable, the allowance comes off the final invoice.

Mistakes on garage conversion quotations

  • Underpricing the floor build-up and leaving a step between the hall and the new room.
  • Forgetting the footing needed under the new wall where the door used to be.
  • Lining cold walls without dealing with the risk of condensation.
  • Sealing the room up with no way for fresh air to get in.
  • Telling the client no approval is needed without checking the local rules.

What the document must show

These details make a quotation easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Should I price moving the boiler or washing machine out of the garage?

Yes, whenever they move or stay inside the new room. Garages often hold a boiler, meters or laundry connections; list relocating or boxing them in as a line of its own, or note that they stay where they are.

How do I deal with a garage floor that sits well below the house?

Measure the difference at the survey and price the build-up to the finished level, membrane included. If the slab turns out cracked or damp, exclude repairs in the notes and give a rate per square metre.

Does the quotation need to cover fresh air?

It should. Once the door is bricked up, the room needs a way for air to get in, such as trickle vents in the new window or a wall vent. Name what you have allowed for, because a stuffy room is a frequent complaint after conversions.

The client wants to keep part of the garage for storage; how do I quote that?

Offer it as a separate option: a partition with a door and a smaller converted room. Two clearly priced options let the client choose without another site visit.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Is this template free?

Yes. You can fill in this template and print it or save it as a PDF without an account, and there is no payment step and no watermark on the document. Saving it to your account and downloading Excel or Word files need a free account.
