How to quote for grass cutting and weeding
Example workflow
Measure and price
Start with "Grass cutting with a brush cutter, per m²": the measured area and the price per square metre.
Review and approve the quotation
Go through every line down to "Disposal of the cut grass" with the customer, with what is excluded and how long the price holds, and keep the approved version.
Do the work and invoice
Cut and clear the area; when the agreed milestone is complete, prepare the invoice from the actual quantities and any approved changes.
Gardeners, handymen and small grounds firms send this quotation to owners of overgrown gardens, vacant plots and verges, often owners who live elsewhere and will not be there on the day. The price rests on a measured area, so the quote also has to say what that price assumes: the height of the grass and how much hand work the edges need. Agree how you will show the finished result, for example with photos before and after.
Fields to prepare
- Deliverables and line items
- Grass cutting with a brush cutter, per m², Hand weeding along the fence, Disposal of the cut grass: price machine cutting per square metre, hand weeding by the hour, and the disposal of the cuttings as a line of its own.
- Grass cutting with a brush cutter, per m²
- Leave beds, paths and paved areas out of the square metres you price, and say so, so the customer does not measure the whole plot and compare.
- Hand weeding along the fence
- Price weeding along the fence by the hour or by the running metre, because it goes far slower than open cutting.
- Disposal of the cut grass
- Estimate the volume, such as two bags or one trailer load, since wet or tall grass gives far more cuttings than a regular mow.
- Area and conditions
- State the area in square metres and how you measured it (on site, from a plan), the height of the grass, any slopes, and obstacles such as stones or a pond.
- Cuttings and timing
- Say whether the cuttings are taken away or left in a pile on site, when the work can be done, and what happens if rain delays it.
- Scope to agree
- State the area in square metres and how it was measured, the height of the grass and any slopes, and whether the cuttings are taken away or left in a pile on site.
Before sending
- Does “Grass cutting with a brush cutter, per m²” say what is included and what quantity the price assumes?
- Would the customer read “Hand weeding along the fence” the way you do, including what it leaves out?
- Can you still honour the price of “Disposal of the cut grass” on the last day the quotation is valid?
Show 3 more
- Measure the area on site where you can, and note anything that slows the work, such as slopes or a fence line.
- Say whether a repeat cut later in the season is a new quote or priced in this one.
- Check the quote validity, how the customer gives approval and the payment milestones, such as payment on completion.
Worked example: a plot with a fence line
The figures are an example, in dollars, with an example tax rate of 8%. A customer asks for the grass on a 200 m² plot to be cut, the weeds along the fence to be pulled by hand and the cuttings taken away.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Grass cutting with a brush cutter, per m² | 200 × $1.50 | $300.00 |
| Hand weeding along the fence | 2 × $30.00 | $60.00 |
| Disposal of the cut grass | 1 × $50.00 | $50.00 |
| Subtotal | $410.00 | |
| Sales tax (8%) | $32.80 | |
| Total | $442.80 | |
Cutting, weeding and disposal add up to $410.00; tax at 8% is $32.80; the quote comes to $442.80. If the customer keeps the cuttings, the disposal line comes out and the total falls.
Common mistakes on a grass cutting quote
- Quoting "garden tidy-up" as one sum, with no area or price per square metre.
- Guessing the area instead of measuring it.
- Leaving out what happens to the cuttings.
- Not saying how long the price holds, while the grass keeps growing.
- Forgetting slopes or a fence line that has to be done by hand.
What the document must show
These details make a quotation easier to approve and to file.
- Your business name, address and registration or tax number
- The customer's name and address
- Issue date and a document number you do not reuse
- Each line item with quantity, unit price and amount
- Tax shown separately from the net amount, and the total payable
- Payment terms: due date, bank details or accepted payment methods
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
Grass cutting quotation template: what should it include?
Start with the lines the template carries (Grass cutting with a brush cutter, per m², Hand weeding along the fence, Disposal of the cut grass) and change them to the job you measured. Then add your details, the customer, the site address, the date and how long the quote is valid.
Should I price by the square metre or by the hour?
By the square metre where the area is open and even, by the hour where most of it is hand work along fences or between plants. You can use both on one quote, as the sample does.
What if the grass is much taller than I expected?
Say on the quote which height it assumes, and that much taller or denser growth is quoted again before you start.
Do I include disposal of the cuttings?
Put it on a line of its own, so the customer can choose to keep the cuttings for compost and leave the line out.
How long should the quote be valid?
Grass grows, so a short validity, such as two weeks, keeps you from doing the work at a price set for shorter grass. Write the date on the quote.
Can I quote a whole season?
Yes: quote the number of cuts and the price of each, and say when each one is due, so you invoice cut by cut.
