Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Driving lessons, per 60 minutes" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Lesson missed without 24 hours’ notice". Confirm delivered sessions and attendance and hand over agreed materials and feedback.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

A driving instructor’s invoice often goes to a parent rather than the learner, and it has to show what was taken and what was agreed in advance. Lessons are booked singly or in prepaid blocks, some cost more because they cover motorway driving, and the car is used for the test itself. This template keeps those on separate lines and leaves the notes for the lesson dates, the lessons left on a block and the cancellation rule.

Worked example: the last month before a driving test

The figures are an example in dollars, with an example tax rate of 8%. An instructor bills six hour-long lessons, a motorway lesson, a mock test, the car with a warm-up on test day and one lesson missed without notice.

Worked example: the last month before a driving test
ItemQuantity × unit priceAmount
Driving lessons, per 60 minutes6 × $42.00$252.00
Motorway lesson, 2 hours1 × $95.00$95.00
Mock test with written feedback1 × $60.00$60.00
Car on test day, with warm-up lesson1 × $120.00$120.00
Lesson missed without 24 hours’ notice1 × $42.00$42.00
Subtotal$569.00
Sales tax (8%)$45.52
Total$614.52

The lines come to $569.00; tax at 8% adds $45.52, so the invoice totals $614.52. If you are not registered for tax, set the rate to zero and the total equals the lines.

Mistakes on a driving lesson invoice

  • Leaving out lesson dates, so a parent cannot match the bill to the diary.
  • Mixing prepaid block lessons with single lessons on the same lines.
  • Charging a missed lesson without a cancellation rule agreed in advance.
  • Billing a motorway lesson as extra hours at the normal rate and explaining the difference later.
  • Forgetting to say how many prepaid lessons remain.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

How do I invoice a lesson missed without notice?

Charge it only if your terms said so before the booking. Name the date, the notice the learner gave and the rule you applied on the line, so the charge does not look like a lesson that never took place.

Who should the invoice be addressed to when a parent pays?

Address it to the person who agreed to pay, usually the parent, and name the learner on each lesson line or in the notes. That keeps records clear if the family books lessons for more than one child.

How do I track the lessons left on a prepaid block?

Write in the notes how many lessons the block contained, how many have been taken to date and how many remain. When the block runs out, the next invoice starts with single lessons again.

Does the official test fee go on my invoice?

Only if you paid it on the learner’s behalf. Then show it at cost on a separate line, marked as a fee passed on, and check how such pass-through costs are treated for tax where you work.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
