How to write a receipt for monthly lesson fees

Example workflow

  1. Fill in the month

Start with "Monthly lesson fee": the month, the number of lessons and the monthly fee.

  2. Add the extras

Add materials and other one-off fees down to "Recital fee", only in the month the parent pays them.

  3. Hand it over

Give the receipt to the parent when the fee is paid, and keep the copy with the student’s record.

Music teachers, sports coaches and small tutoring schools write this receipt each month, usually for a parent paying for a child. Beyond the month and the number of lessons, parents want to see the regular fee stay the same from one month to the next, with one-off costs such as books or a recital shown beside it. That steadiness lets a parent see at a glance whether anything changed, and it saves you questions at pick-up time.

Fields to prepare

Deliverables and line items
Monthly lesson fee, Materials fee, Recital fee: put the month’s lessons on one line with the number of lessons, and materials and a recital or exam fee on lines of their own.
Monthly lesson fee
Write the number of lessons the month holds next to the fee, for example four weekly lessons, because months with five lesson days raise questions.
Materials fee
Name the book or kit, so a parent who already bought it elsewhere can tell you before you charge again.
Recital fee
Say what the fee pays for, such as hall hire and an accompanist, and the date of the recital.
Student and payer
Give the student’s name and the name of the parent or guardian who paid, as they appear on your enrolment form, and the class or level.
Month and lessons
Write the month the fee covers and how many lessons it includes, and note a make-up lesson carried over from a missed one.
Scope to agree
Name the student, the month the fee covers and the number of lessons in it, and how a missed lesson is made up; keep materials and recital fees apart from the lessons.

Before sending

  • Does “Monthly lesson fee” match the line on the invoice this payment settles?
  • Has the money for “Materials fee” actually arrived, in full or in part?
  • Is “Recital fee” shown at the amount received, with any balance still owed noted?
Show 3 more
  • Number receipts in one sequence for the school or studio, and keep a copy for each student.
  • Keep a one-off fee (materials, a recital, an exam) on its own line, so the monthly fee stays the same from month to month.
  • Show a sibling discount or a month with fewer lessons as its own line or note, not hidden in a lower fee.

Worked example: one month of lessons

The figures are an example, in dollars. A parent pays for a month of weekly lessons, the new book for the term and a share of the spring recital.

  1. Lines: the monthly fee, the materials fee and the recital fee, one line each.
  2. Payment: the parent paid $145.00 at the first lesson of the month.
  3. Balance: nothing is left to pay for the month, so the balance is $0.00.
Worked example: one month of lessons
ItemQuantity × unit priceAmount
Monthly lesson fee1 × $80.00$80.00
Materials fee1 × $15.00$15.00
Recital fee1 × $50.00$50.00
Invoice total$145.00
Received$145.00
Still owed$0.00

The lines add up to $145.00. The parent paid $145.00, which leaves $0.00. Next month’s receipt will have the monthly fee alone unless another extra arises.

  • Write the month as words ("May 2026"), not the payment date alone: some parents pay at the end of the month before.
  • If you teach in a family’s home, add your travel on its own line rather than raising the lesson fee.
  • Keep each student’s receipts in date order, so a question about a past month can be answered from the copies.

Common mistakes on a lesson fee receipt

  • Writing the date the money arrived but not the month the lessons are for.
  • Folding materials or a recital fee into the monthly fee.
  • Making the receipt out to the child when a parent paid.
  • Not noting a make-up lesson, so the next month’s count is disputed.
  • Writing one receipt for two siblings with a single total and no line for each.

What the document must show

These details make a receipt easier to approve and to file.

  • Your business name and address, and your tax number if you are registered
  • Receipt number and issue date (the date the payment arrived)
  • Who paid
  • How they paid: bank transfer, card or cash
  • What the payment is for, and the number of the invoice it settles
  • The amount received, with any tax it includes shown separately
  • For a part payment, the balance still owed

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

Lesson fee receipt template: what should it include?

Start with the lines the template carries (Monthly lesson fee, Materials fee, Recital fee) and change them to what this student paid this month. Then add the studio’s name, the student and payer, the month and a receipt number you have not used before.

Who should the receipt be made out to?

To the person who paid, usually a parent or guardian, with the student’s name on a line of its own. Use the names on your enrolment form.

A student missed a lesson. Does the fee change?

It depends on your terms. If a missed lesson is made up, keep the fee and note the make-up date; if it is refunded, put the refund on a line of its own.

Can I issue one receipt for brothers and sisters?

Yes, with a line for each student, so each child’s fee and any sibling discount can be seen.

Should the recital fee go on the same receipt?

It can, on its own line in the month it is paid. Keeping it apart from the monthly fee shows the parent what is regular and what is not.

Can I send receipts by email instead of paper?

Yes. Save the receipt as a PDF from the print dialog and send it to the parent; name the file with the student and the month.
