Preparation guide
Example workflow
Match the payment to the invoice
Example: check the payment for "Two-tier lemon cake, 40 servings" against the invoice it settles: the invoice number, the amount received and any balance still owed.
Record the payment
Enter the payment date, the payment method and the amount received, and check each line this payment covers, down to "Cake stand hire, returned after the event".
Send the receipt
Send the receipt to the customer and mark the invoice as paid; if a balance remains, keep the invoice open for it.
A custom cake is paid for in two steps: a deposit when the date is fixed, and the balance when the cake is collected or delivered. Each step needs its own receipt, because flavour, size and decoration are agreed once but the money changes hands twice. This template lists the cake, the decoration, the delivery and any borrowed stand on separate lines, and keeps the event date, the allergy details and the balance still due in the notes.
Fields to prepare
- Deliverables and line items
- Two-tier lemon cake, 40 servings, Sugar flowers and piped lettering, Delivery and set-up at the venue, Cake stand hire, returned after the event: the lines this payment covers, as they appear on the invoice it settles.
- Two-tier lemon cake, 40 servings
- Write the flavour, the tier sizes and the number of servings exactly as agreed; this is the line the customer points to if the cake looks different.
- Sugar flowers and piped lettering
- List the decoration and the exact wording to be piped, and have the customer confirm the spelling; a misspelt name is the commonest complaint.
- Delivery and set-up at the venue
- Give the venue address, the hour the cake must be in place and who receives it; a late delivery to a party is hard to put right.
- Cake stand hire, returned after the event
- State the stand’s value, who returns it and by when, so a missing stand does not turn into an argument after the party.
- Payment details
- Record the payment date, the method (bank transfer, card or cash) and the amount received, exactly as it arrived.
- Invoice reference
- Quote the number of the invoice this payment settles; for a part payment, note the balance still owed.
- Scope to agree
- Record the event date and the hour of collection or delivery, the flavour and size ordered, the deposit received and when the balance falls due, and say whether the deposit comes back if the date is cancelled.

Worked example: the deposit on a christening cake
The figures are an example, in dollars. A customer orders a two-tier lemon cake with sugar flowers for a Saturday christening, with delivery to the hall and a borrowed stand. Half of the order is paid now to hold the date.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Two-tier lemon cake, 40 servings | 1 × $190.00 | $190.00 |
| Sugar flowers and piped lettering | 1 × $45.00 | $45.00 |
| Delivery and set-up at the venue | 1 × $30.00 | $30.00 |
| Cake stand hire, returned after the event | 1 × $25.00 | $25.00 |
| Invoice total | $290.00 | |
| Received | $145.00 | |
| Still owed | $145.00 | |
The four lines add up to $290.00. This receipt records $145.00 received today, so $145.00 is still due when the cake is delivered. The date, the hour and the wording to be piped belong in the notes.
Common mistakes on a cake order receipt
- Taking a deposit without writing down whether it is refundable.
- Leaving out the exact wording of the inscription, so a misspelt name becomes the baker’s word against the customer’s.
- Writing the date but not the hour, which matters when the cake must be in place before the guests arrive.
- Issuing the receipt for the balance without mentioning the deposit, so the customer seems to have paid twice.
- Forgetting to note the allergy the customer mentioned at the order.
What the document must show
These details make a receipt easier to approve and to file.
- Your business name and address, and your tax number if you are registered
- Receipt number and issue date (the date the payment arrived)
- Who paid
- How they paid: bank transfer, card or cash
- What the payment is for, and the number of the invoice it settles
- The amount received, with any tax it includes shown separately
- For a part payment, the balance still owed
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
Is the deposit refundable if the party is cancelled?
That is your policy, so print it on the deposit receipt before the customer pays: for example refunded up to a set number of days before the date, partly kept once ingredients are ordered. A rule the customer saw in writing is easier to apply. Check any consumer rules where you trade.
The guest count changes after the deposit. Is a new receipt needed?
Leave the deposit receipt as it is and issue a new one when the balance is paid, with the revised servings and the new total. Note the old total and the change in the notes so both receipts can be followed from one to the other.
How do I note an allergy without crowding the receipt?
Add one line to the notes naming the allergy the customer mentioned and what you agreed, such as no nuts in the sponge or the decoration. If you cannot promise a nut-free kitchen, write that too, so the customer decides with the facts.
Does the receipt say who is responsible once the cake is collected?
It can record the handover. Add a line on the final receipt that the customer took the cake in good order, with your advice to keep it cool and flat in the car. That does not excuse a fault present when it left you, but it dates the handover.
What does the final receipt show after a deposit receipt?
It shows the full order value, the deposit already received with its date and the balance paid now. The customer then holds two receipts that add up to the order, and no amount is counted twice.
How is tax calculated on this template?
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.
How is the document numbered?
QuoteBill gives each new document a unique number of its own. A member can switch to numbers in sequence in settings, such as REC-2026-0001: one sequence for each kind of document, starting again every calendar year. A number you type yourself is kept as it is.
