Preparation guide
Example workflow
Confirm scope and quantities
Example: start with "Multi-camera crew and switching, per event day", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Recording edited for on-demand viewing", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Confirm actual operating hours and supplied quantities with the event contact and record approved extras. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
A livestream has no second take. When a company streams a conference, a product launch or a general meeting, the quotation has to show not only the cameras and crew but the things that keep the picture on air: an encoder, a second internet line in case the venue's fails, and a test broadcast the day before. This template prices the crew per event day, technology and graphics separately, and the edited recording that viewers can watch later.
Fields to prepare
- Deliverables and line items
- Multi-camera crew and switching, per event day, Streaming encoder and backup internet line, Graphics: lower thirds, slides and countdown, Platform set-up and test broadcast, Recording edited for on-demand viewing: specify the planned quantity and delivery scope for each item.
- Multi-camera crew and switching, per event day
- Say how many cameras and operators the crew includes, the hours of each day, and whether set-up the evening before is included.
- Streaming encoder and backup internet line
- Name the backup method, such as a unit that bonds several mobile connections, and test it on site before going live.
- Graphics: lower thirds, slides and countdown
- List the graphics delivered and the deadline for speaker names and slides, as late changes are made live under pressure.
- Platform set-up and test broadcast
- Name the platforms streamed to and who owns the accounts; a private event needs viewer access set up in advance.
- Recording edited for on-demand viewing
- Say how soon after the event the edited recording is delivered and what is cut, such as breaks and technical pauses.
- Event details and time
- Record the date, venue, attendance, and setup, rehearsal, operating and removal times.
- Staffing and supplies
- Specify staff counts and hours, supplied items and the responsibilities of external vendors.
- Scope to agree
- Price the crew per event day, keep the backup line and encoder visible rather than hidden in the crew fee, and say who provides the venue's internet and power.

Worked example: a two-day conference
The figures are an example, with an example tax rate of 8%. A production company quotes a three-camera crew for two conference days, one encoder with a bonded mobile backup, a graphics package, platform set-up with a test broadcast, and the edited recordings.
| Item | Quantity × unit price | Amount |
|---|---|---|
| Multi-camera crew and switching, per event day | 2 × $3,800.00 | $7,600.00 |
| Streaming encoder and backup internet line | 1 × $650.00 | $650.00 |
| Graphics: lower thirds, slides and countdown | 1 × $900.00 | $900.00 |
| Platform set-up and test broadcast | 1 × $400.00 | $400.00 |
| Recording edited for on-demand viewing | 1 × $1,200.00 | $1,200.00 |
| Subtotal | $10,750.00 | |
| Sales tax (8%) | $860.00 | |
| Total | $11,610.00 | |
The five lines come to $10,750.00; tax at 8% is $860.00; the quotation total is $11,610.00. The venue's wired line is named in the notes as the client's responsibility.
Common mistakes on a live streaming quotation
- Relying on the venue's shared internet with no backup line.
- Skipping the test broadcast to save a day.
- Leaving graphics deadlines open, so names are typed live and spelt wrong.
- Forgetting to agree who owns the streaming accounts and the recording afterwards.
What the document must show
These details make a quotation easier to approve and to file.
- Your business name, address and registration or tax number
- The customer's name and address
- Issue date and a document number you do not reuse
- Each line item with quantity, unit price and amount
- Tax shown separately from the net amount, and the total payable
- Payment terms: due date, bank details or accepted payment methods
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions
The stream dropped for five minutes. Can the client withhold payment?
Write into the notes what happens on an outage: which backup is in place and whether a recording is delivered for the missing part. A clear plan in the quotation is better than an argument about a refund afterwards.
Who pays for music played during breaks?
Streaming platforms may block music without a licence. Use music you are allowed to stream, list a purchased licence on its own line, and say who chose the music.
Is the venue's internet good enough?
Ask the venue for a dedicated wired line and test the upload speed during the site visit. If the line is not dedicated, quote the backup as essential rather than optional.
Can I quote a hybrid event with remote speakers?
Yes. Add a line for bringing remote speakers into the stream, with a technical check per speaker before the day, because every remote guest is one more point of failure.
How is tax calculated on this template?
The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
