Preparation guide
Example workflow
Confirm scope and quantities
Example: reconcile the approval and work record for "Interior typesetting, 220 pages" to establish the quantity for this invoice.
Record delivery and acceptance
Check completion for every line, including "Author corrections beyond two rounds, per hour". Hand over approved versions and a file manifest, confirming usage scope and completed revisions.
Send the billing record
Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.
Book typesetting is usually priced by the page, yet the real arguments come later, after the layout is approved: one more round of corrections, a title that changes, a font nobody licensed. The invoice is the place to fix those limits. This template lists the interior by page, the cover, the e-book conversion and extra correction rounds by the hour, and the notes hold the trim size, the files handed over and who keeps the working files.
Fields to prepare
- Deliverables and line items
- Interior typesetting, 220 pages, Cover design: front, spine and back, E-book conversion (EPUB) and file checks, Author corrections beyond two rounds, per hour: record the quantities actually supplied and the service period.
- Interior typesetting, 220 pages
- Give the trim size and the page count at the time of quoting; a text that grows by forty pages in proof changes the price per page.
- Cover design: front, spine and back
- Say whether the cover price includes the barcode and the spine width calculated from the printer’s paper, since a wrong spine cannot be fixed once printed.
- E-book conversion (EPUB) and file checks
- Name the e-book format, the reading systems tested and whether the retailer’s validation check passed; an e-book that fails validation is not finished.
- Author corrections beyond two rounds, per hour
- Define a round, for example one marked-up proof returned in full, and bill further rounds by the hour from the third proof on.
- Quantity and output format
- Record pages, images, word counts or running time, final file formats and whether editable source files are included.
- Review and usage scope
- Specify the draft approver, revision rounds, intended media and duration, and who supplies third-party assets.
- Scope to agree
- State the trim size and page count, the fonts and file formats delivered, how many correction rounds the price covers, and who keeps the layout files and font licences after delivery.
Before sending
- Does “Interior typesetting, 220 pages” show the quantity actually supplied, not the quantity first quoted?
- Is “Cover design: front, spine and back” charged at the rate the customer agreed to, with any change approved?
- Is “E-book conversion (EPUB) and file checks” finished and accepted, or does it belong on a later invoice?
Show 4 more
- Does “Author corrections beyond two rounds, per hour” show the quantity actually supplied, not the quantity first quoted?
- Agree when a change of direction after draft approval becomes additional work.
- Check separately whether editable sources and final delivery files are included.
- Match completed work to the order or approval record, and confirm the payment due date and amounts already received.

Frequently asked questions
Who owns the layout files once the invoice is paid?
Settle it in the contract and repeat it on the invoice. Many typesetters hand over the print PDF and the e-book file but keep the working files, or sell them as a separate line; fonts belong to whoever bought the licence, not automatically to the author.
What counts as a correction round?
One round is a single marked-up set of changes returned together. Changes that arrive one at a time, or paragraphs rewritten after approval, are better billed by the hour; say so on the first invoice.
How is the sales tax worked out on this invoice?
The worked example above uses an example rate of 8%: $71.60 on a net amount of $895.00, for a total of $966.60. The editor recalculates all three when you change a quantity, a price or the country.
Can I download it as Excel, Word or PDF?
Yes. A PDF needs no account: fill in the template and use Print / PDF. The Excel and Word files download from this page with a free account, and the spreadsheet keeps its formulas, so changing a quantity updates the tax and the total.
Can I add my logo and signature?
Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
