Preparation guide

Example workflow

  1. Confirm scope and quantities

Example: reconcile the approval and work record for "Erect independent scaffold, front elevation" to establish the quantity for this invoice.

  2. Record delivery and acceptance

Check completion for every line, including "Strike and remove the scaffold". Confirm actual use, supplied extras and the return or service-completion record.

  3. Send the billing record

Send the final charges, delivery reference and due date to the customer, then reconcile payment against the invoice number.

Scaffolding is billed in a pattern that clients often misread: one price to put it up, usually with a few weeks of hire included, then a weekly charge until the client asks for it to come down, then the strike. This invoice follows that pattern line by line. It shows the handover date the hire runs from, the weeks charged beyond the included period, any return visit to alter a lift for another trade, and the strike itself.

Fields to prepare

Deliverables and line items
Erect independent scaffold, front elevation, Hire after the four included weeks, per week, Return visit to adapt a lift for the roofers, Strike and remove the scaffold: record the quantities actually supplied and the service period.
Erect independent scaffold, front elevation
Describe the scaffold by elevation, length and number of lifts, so it matches the drawing or quotation it came from.
Hire after the four included weeks, per week
Count weeks from the handover date to the date the client asked for the strike, not from the day your crew arrived.
Return visit to adapt a lift for the roofers
Name who asked for the adaptation and when; if another contractor asked, the client may want to pass the cost on.
Strike and remove the scaffold
Date the strike and note any boards, fittings or ties missing at collection.
Booking and period
Identify the venue, equipment or service, quantity, and the start and end of use.
Included services and extras
Agree the included use, transport or staff, and units and charges for extra use.
Scope to agree
Date the handover and the strike, say how many weeks the erection price includes, and bill every week beyond it and every adaptation on its own line.

Worked example: a front elevation kept up for seven weeks

The figures are an example, in dollars, with an example tax rate of 8%. The erection price includes four weeks of hire; the roofers keep the scaffold for seven, ask for one lift to be raised, and then it is struck.

  1. Hire: seven weeks from handover less the four included leaves three weeks to bill.
  2. Adaptation: one visit, with its date and the roofer’s request.
Worked example: a front elevation kept up for seven weeks
ItemQuantity × unit priceAmount
Erect independent scaffold, front elevation1 × $1,450.00$1,450.00
Hire after the four included weeks, per week3 × $120.00$360.00
Return visit to adapt a lift for the roofers1 × $160.00$160.00
Strike and remove the scaffold1 × $520.00$520.00
Subtotal$2,490.00
Sales tax (8%)$199.20
Total$2,689.20

The invoice comes to $2,490.00 before tax; at 8% the tax is $199.20 and the total is $2,689.20. The handover and strike dates sit under the lines so the weeks can be recounted.

Common errors on scaffolding invoices

  • Counting hire from the day the crew arrived rather than from handover.
  • Charging weeks the erection price already included.
  • Folding an adaptation into the weekly hire, where nobody can see it.
  • Leaving out the date the client asked for the strike.

What the document must show

These details make an invoice easier to approve and to file.

  • Your business name, address and registration or tax number
  • The customer's name and address
  • Issue date and a document number you do not reuse
  • Each line item with quantity, unit price and amount
  • Tax shown separately from the net amount, and the total payable
  • Payment terms: due date, bank details or accepted payment methods

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending.

Frequently asked questions

When does the hire period start and stop?

It normally runs from the handover date to the date the client gives notice to strike. Put both dates on the invoice, with the number of weeks they make.

Can I invoice weekly hire while the scaffold is still up?

Yes, if your terms allow interim invoices. Bill the weeks already passed, give the period they cover, and leave the strike for the last invoice.

Another trade asked me to move a lift: who pays?

Invoice the client who ordered the scaffold and name who asked and when; recovering it from the other trade is up to them and their contract.

How do I charge for fittings that went missing on site?

List them on a separate line with the quantity and replacement price, and keep the collection check sheet in case the client asks to see it.

How is tax calculated on this template?

The sales tax depends on where the work is supplied, so set the rate that applies to your customer before sending. The editor keeps the net amount, the tax and the total apart, and recalculates all three when you change a quantity, a unit price or the country setting.

Can I add my logo and signature?

Yes. The From section of the editor has a place for your company logo and for a signature or seal image. Uploading a picture needs a free account, and a member can keep both in settings so that every new document starts with them.
