Preparation guide
Example workflow
Confirm scope and quantities
Example: start with "Kitchen degreasing", confirm the required quantity and client inputs, then agree completion criteria for each item.
Review and approve the quotation
Confirm acceptance evidence for "Bathroom descaling", all line quantities, exclusions and quote validity with the customer, and retain the approved version.
Deliver and prepare billing
Deliver the service record, materials used, unresolved issues and the agreed next visit date. When the agreed milestone is complete, prepare an invoice using actual quantities and approved changes.
End-of-tenancy cleaning is quoted before the tenant hands back the keys, often with the landlord’s or agent’s inspection in mind. This template prices the three areas inspectors look at hardest: grease in the kitchen, the window frames and tracks, and limescale in the bathroom. Ask for photos or visit first, since the condition decides the time needed. Say whether the property will be empty on the day and whether you return without charge if the inspection finds something you missed.
Fields to prepare
- Deliverables and line items
- Kitchen degreasing, Window frame cleaning, Bathroom descaling: specify the planned quantity and delivery scope for each item.
- Kitchen degreasing
- Say whether the oven, the extractor hood and the inside of cupboards are included, since these take most of the time.
- Window frame cleaning
- Count the windows or frames and state whether inside only or both sides, and whether tracks and sills are included.
- Bathroom descaling
- Give the number of bathrooms and name marks that may not come out, such as etched glass or old silicone, so they are not expected.
- Assets and visits
- Record the asset or area, visit dates, visit count and access arrangements.
- Labor and materials used
- Separate labor hours, quantities of parts or consumables, and work outside the recurring scope.
- Scope to agree
- Define kitchen, window-frame and bathroom counts and condition, furniture presence, excluded stains and reinspection visits.
Before sending
- Does “Kitchen degreasing” say what is included and what quantity the price assumes?
- Would the customer read “Window frame cleaning” the way you do, including what it leaves out?

Frequently asked questions
Should the quotation be addressed to the tenant or the landlord?
To whoever orders and pays. Tenants usually book the clean to get their deposit back, so they are the customer; if the letting agent orders it for the landlord, address the quotation to the agent and name the property and the move-out date.
What if the tenant has not moved all the furniture out?
Write in the quotation that the price assumes an empty property and that furniture or rubbish left behind is moved or removed at an extra charge, or that the cleaning day is moved. Agree it before the day, not at the door.
How do I add carpet or upholstery cleaning?
Add it as an optional line with the rooms or the area, so the customer can accept the main clean without it. Carpets need time to dry, so mention that this cleaning should be booked before the final inspection.
How is the sales tax worked out on this quotation?
The worked example above uses an example rate of 8%: $811.20 on a net amount of $10,140.00, for a total of $10,951.20. The editor recalculates all three when you change a quantity, a price or the country.
Can I change the layout and colour?
Yes. The editor offers other layouts and a document colour for the printed page. Changing them moves no figure: the lines and totals stay as they are, and the PDF, Word and Excel files follow the layout you pick.
